JOB OVERVIEW

Title: AI Platform & Product Operations Lead
Schedule: 9 am- 5 pm EET (GREECE time zone)
Hours: 40-45 Hours
Rate of Pay: $1,920 - $2,400 a month ($12-15/hr)

This role will begin by auditing and strengthening the business’s internal technical ecosystem, with a focus on creating a robust customer funnel tracking system from awareness to sales. Once that foundation is in place, the role will expand into building a client-facing platform that allows our clients to track their own business inputs and outputs, supported by dashboards, AI tools, trainings, and strategic resources

Accountability: Phase 1
*Technical ecosystem audit
- Review the full business tech stack across CRM, email, payments, forms, automations, analytics, content platforms, and Airtable
- Map how leads currently move from awareness to enquiry to sale
- Identify data gaps, broken handoffs, duplicate tools, and manual workarounds
- Assess which systems are reliable enough to keep and which need replacing or restructuring
- Document the current-state architecture in a way that is clear and usable

*Funnel tracking and measurement
- Build a robust way to track the customer journey from awareness through to conversion
- Define the key funnel stages and what each one means in your business
- Establish the core metrics to measure at each stage
- Create logic for tracking lead source, conversion points, sales activity, and customer movement
- Make sure the data can be viewed consistently and updated accurately

*Systems integration and data structure
- Connect the key systems needed to support clean funnel visibility
- Improve how Airtable is used as a source of truth where relevant
- Consolidate fragmented data from Stripe, School, and Kit into a single Airtable relational database, establishing a unified
Source of Truth with zero duplicate records within the first 30 days.
- Ensure data flows correctly between tools and is structured for long-term use
- Reduce fragmentation across platforms
- Create a setup that can later support a client-facing dashboard

*Operational visibility and reporting
- Build internal reporting views that allow you to clearly see business performance
- Create dashboards or views for sales pipeline, leads, content performance, and conversion trends
- Make reporting practical and decision-focused, not just data-heavy
- Ensure reporting supports fast insight into what is and is not working

*Documentation and implementation standards
- Document the systems, workflows, tracking logic, and definitions
- Create SOPs for ongoing maintenance and team use
- Establish standards for naming, permissions, and data hygiene
- Build the setup so it can be maintained and expanded over time

Phase 2:
*Client platform design
- Translate the internal system into a client-facing experience
- Design how clients will track both input and output in their business
- Structure a performance dashboard so it is simple, strategic, and useful
- Ensure the platform helps clients understand performance and take action

*Client business tracking framework
- Build a model clients can use to track their own awareness, leads, sales activity, and growth
- Define which inputs they should monitor, such as content, outreach, offers, and sales actions
- Define which outputs they should monitor, such as leads, inbound requests, calls booked, deals closed, and revenue
- Make sure the framework is easy to use and relevant for coaching clients

*AI and strategic tools integration
- Integrate useful AI-supported tools into the client experience
- Build access to competitor research workflows
- Include transcription and summary features for content and learning
- Create access to custom GPTs or guided AI tools for idea development and execution support
- Ensure AI tools are practical, safe, and well-structured for client use

*Training and guided implementation
- Link the dashboard experience to trainings, resources, and strategic guidance
- Build a systemised checklist approach to business building inside the platform
- Make sure clients know what to do next based on their current business data
- Connect education to execution so the platform drives action, not just insight

*Events and client engagement
- Build a calendar view for upcoming events, trainings, and key touchpoints
- Make the platform feel like an active business-growth environment rather than a static portal
- Support client engagement through visibility, reminders, and structured planning

*Scale, quality, and long-term platform ownership
- Ensure the platform is built for long-term use, not quick fixes
- Create a permissions structure that protects client data appropriately
- Maintain data quality, usability, and reliability as the platform grows
- Identify future improvements and help shape the long-term product roadmap
- Design and execute a production-ready client interface through reliable API/Zapier schemas engineered to support 100–500 active concurrent users without system lag or handoff breakage.

Tasks:
*Review and optimise our systems daily to ensure the customer journey from awareness to sale is clear, effective, and scalable.
*Track and report on key business metrics, turning data into clear insights and actionable recommendations.
*Build and maintain the operational infrastructure of the business, including Airtable, automations, integrations, and SOPs.
*Approach problems with clear structure and strategic thinking, turning ideas and gaps into practical solutions
*Communicate progress through daily updates, keeping the founder informed on wins, issues, priorities, and next actions.

Expectations:
*3+ years in operations, systems, product operations, business intelligence, or digital product implementation
*Hands-on experience with Airtable and connected tools
*Experience setting up or improving reporting dashboards and data flows
*Experience building or managing automations and integrations
*Experience documenting processes and creating scalable workflows
*Experience giving clear updates, recommendations, and next steps to a founder or senior decision-maker
*Experience building robust, scalable digital platforms for long-term use, with a clear understanding of clean system architecture, reliability, and user experience at scale. Must be able to create proper production-ready systems rather than quick, patchwork, or vibe-coded solutions, with the ability to support at least 100 active users.

Salary:
Position & Length: Contractor (Remote) 1-Year (12 months)
Rate of Pay: $12-$15 USD
Scheduled Hours Minimum: 40 hours (Must Track Hours)
Scheduled Hours Maximum: 45 hours (Anything above needs approval)
Agreed Schedule: Monday–Friday, 9 AM–5 PM ETT GREECE
Pay Schedule: Monthly via Wise or preferred method
With the submission of hours worked
