Property & Lettings Virtual Assistant (UK Property Company)

Full-Time | Remote | Philippines-Based

We are a growing UK property company looking for a highly organised and proactive Virtual Assistant to support our lettings and property management operations.

This role is ideal for someone with excellent written and spoken English, strong administrative skills, and a professional, customer-focused approach. Experience supporting UK property, real estate, lettings, or property management businesses is highly desirable.

We manage residential property in England and are focused on delivering a professional experience for both tenants and landlords. We are looking for a long-term tea ---------- mber who can become an integral part of our operations.

Key Responsibilities

Lettings Support

* Managing and updating SpareRoom adverts
* Refreshing listings to maintain visibility and enquiry levels
* Responding to incoming enquiries promptly and professionally
* Pre-qualifying prospective tenants against our criteria
* Maintaining and progressing approved applicant lists
* Coordinating property viewings
* Managing applicant communications throughout the enquiry process
* Supporting the tenant-find process with administration and record keeping

Property Management Support

* Monitoring and managing tenant communications within COHO
* Responding to tenant enquiries and applying first-line troubleshooting where appropriate
* Escalating maintenance issues when required
* Logging, updating, and maintaining accurate records within COHO
* Managing compliance-related records and documentation
* Maintaining utility account information and records
* Inbox and email management
* General administrative support across the property portfolio

Requirements

Essential

* Excellent spoken and written English
* Strong understanding of UK English communication standards
* Highly organised with exceptional attention to detail
* Ability to work independently and manage multiple tasks
* Strong customer service and communication skills
* Reliable internet connection and home office setup
* Proficiency with Google Workspace and Microsoft Office

Preferred

* Previous experience supporting a UK property, lettings, estate agency, or property management business
* Familiarity with SpareRoom
* Experience using property management software such as COHO, Arthur, Re-Leased, Fixflo, Goodlord, or similar platforms
* Experience handling tenant enquiries and maintenance coordination
* Experience managing shared inboxes and administrative workflows

* Enquiries are responded to quickly and professionally
* Tenant applications are efficiently screened and progressed
* Property management records remain accurate and up to date
* Tenant issues are handled promptly and escalated appropriately
* Administrative processes run smoothly with minimal supervision
