JOB DESCRIPTION

We are looking for a detail-oriented and reliable Accounts Payable Specialist to join our close-knit accounting team. In this role, you will be in charge of making sure our company pays all of its bills on time and correctly, including vendors in the U.S. and overseas. If you are great with numbers, organized, and love making sure things are done right the first time, this job is for you.

WHAT YOU'LL BE DOING

- Take ownership of the full A/P process: receive and check invoices, enter them into our system, route them for approval, and make sure they get paid.
- Handle international vendor payments (payments to overseas factories). Carefully review each invoice for accuracy, match supporting documents (like shipping records and POs), and flag any inconsistencies before releasing payments.
- Double-check all invoices to ensure accuracy and compliance with company policies.
- Keep vendor contact info and payment details up to date in our system.
- Match vendor statements with our records and investigate any mismatches or errors.
- Ensure each expense is booked to the correct account, department, or project.
- Run weekly payment batches, including checks, ACH, credit card, and wire transfers.
- Respond to vendor emails and calls professionally and quickly.
- Work with other departments to solve payment issues and help prevent future ones.
- Support month-end close and annual audits by preparing A/P reports and documentation.
- Regularly create reports to help track payables and support financial decision-making.

WHAT WE'RE LOOKING FOR

- Bachelor's degree in Accounting or a related field
- 5 to 7 years of hands-on Accounts Payable experience
- Strong skills in Microsoft Excel (pivot tables, VLOOKUPs, etc.)
- Experience with accounting systems like SAP, NetSuite, or similar (a plus)
- Strong knowledge of A/P and general accounting principles
- Excellent attention to detail
- Good written and verbal English skills
- Self-motivated and able to manage deadlines independently
- Quiet home office setup with reliable internet and a dual-monitor setup (strongly preferred)
- Available to work full-time, 40 hours/week, from either 8:00 AM-5:00 PM or 9:00 AM-6:00 PM CST (Note: This is a night shift for PH-based tea ---------- mbers)
