Position Overview: Modern Multispecialty Group is seeking a highly organized and detail-oriented Marketing Operations & Administrative Assistant to support our healthcare marketing department. This role is responsible for maintaining marketing systems, tracking data, coordinating content, supporting social media operations, and assisting with administrative projects across multiple healthcare brands. This is not a graphic design or content creation role. We are looking for someone who is organized, proactive, communicative, and capable of keeping projects, data, and marketing assets organized and moving forward.
Key Responsibilities
Administrative & Operations Support
• Maintain marketing reports, spreadsheets, and tracking systems
• Assist with project coordination and follow-up tasks
• Organize documentation, files, and internal resources
• Conduct research and compile findings into organized reports
• Assist with miscellaneous marketing and administrative projects as assigned
Content & Social Media Coordination
• Manage and organize marketing assets within Dropbox
• Maintain and update the content calendar
• Coordinate content approvals and scheduling processes
• Research social media trends, content ideas, and competitor activity
• Compile content recommendations and insights for the marketing team
• Perform light Canva editing when needed (resizing, updating text, simple edits)
• Assist in organizing and tracking social media performance data
Data & Reporting
• Maintain accurate marketing and business development tracking documents
• Update campaign, referral, and lead-tracking spreadsheets
• Compile weekly and monthly reports
• Ensure data accuracy across marketing systems
Communication & Outreach
• Draft and send professional
• Coordinate meetings and follow-ups
• Communicate with vendors, partners, and internal tea
• Maintain professional written communication standards
Required Qualifications
• Excellent written English communication skills
• Strong attention to detail
• Exceptional organizational skills
• Strong time management and prioritization abilities
• Ability to manage multiple ongoing projects simultaneously
• Reliable internet connection and dedicated workspace
• Proficiency with: Google Docs, Google Sheets, Google Drive, Gmail, Google Calendar, Dropbox, and Canva (basic level)
Preferred Qualifications
• Previous administrative assistant, executive assistant, coordinator, or operations experience
• Experience supporting a marketing department
• Experience maintaining content calendars and digital asset libraries
• Experience with data tracking and reporting
• Healthcare industry experience is a plus
