JOB OVERVIEW

We are looking for a proactive and detail-oriented Administrative Virtual Assistant to support the backend operations and day-to-day administrative tasks of our educational platform and business systems.

The ideal candidate is highly organized, tech-savvy, able to work independently, and experienced with GoHighLevel (GHL) and administrative support tasks. Experience with social media platforms and basic marketing support is a plus, but not required.


The position is part-time, requiring 20 hours per week (4 hours per day) with a flexible schedule, including some overlap with Pacific Time.


Job duties and responsibilities:

Administrative & Operations Support
• Assist with backend administrative tasks and daily operations
• Manage and organize data, documents, spreadsheets, and internal systems
• Handle email management, scheduling, and follow-up tasks
• Maintain accurate records and update company databases
• Support event and course administration, including certificate generation and attendee tracking
• Assist with manual data entry and uploads across various platforms
• Help maintain and update directories, forms, and internal documents
• Provide general administrative support to ensure smooth daily operations

GoHighLevel (GHL) Support
• Manage and update contacts, pipelines, tags, and workflows inside GoHighLevel
• Assist with CRM organization and backend automation setup
• Support landing pages, forms, calendars, and email campaign updates as needed
• Monitor and maintain accurate customer and lead information

Nice to Have (Not Required)
• Familiarity with social media platforms such as Facebook, Instagram, and LinkedIn
• Basic Canva or content scheduling experience
• Experience with platforms such as MailChimp, WordPress, Thinkific, Eventbrite, or QuickBooks

QUALIFICATIONS
• Experience working as an Administrative Virtual Assistant or similar role
• Experience using GoHighLevel (GHL) is required
• Strong organizational and communication skills
• High attention to detail and ability to follow processes
• Ability to work independently and manage time effectively
• Comfortable learning new systems and tools
