Job Description
I’m looking for a smart, reliable operations assistant who can help run tasks across multiple businesses.
This is not just data entry. I need someone who can think, research, organize, follow up, fill out applications, hire contractors, compare options, and help move projects forward without needing every tiny step explained.
You should be comfortable handling business admin, online research, forms, payment processor applications, hiring, contractor coordination, documents, spreadsheets, and general operations.
Main Tasks
Research tools, services, vendors, contractors, and options
Help hire freelancers, VAs, contractors, and service providers
Post jobs, screen applicants, organize candidates, and summarize top choices
Fill out business applications and forms
Help with payment processor, banking, software, and platform applications
Organize documents, files, folders, and spreadsheets
Track tasks, deadlines, and follow-ups
Communicate with support teams, contractors, and service providers
Compare options and make simple recommendations
Create checklists, SOPs, and task trackers
Keep projects organized and moving
Requirements
Strong written English
Smart, organized, and detail-oriented
Good at online research
Able to figure things out independently
Able to follow instructions carefully
Able to summarize information clearly
Comfortable filling out forms and applications
Good with Google Sheets, Docs, Gmail, and Drive
Reliable with follow-ups and deadlines
Asks questions when something is unclear
Comfortable handling confidential business information
Strong Plus
Experience working with entrepreneurs or online businesses
Experience hiring VAs/freelancers
Experience with payment processor applications
Experience with ecommerce, Shopify, Stripe, PayPal, NMI, or similar platforms
Experience with bookkeeping/admin document organization
Experience with Notion, ClickUp, Trello, Airtable, or CRMs
Working Style
I need someone with a brain.
Someone who can look at a task, understand the goal, research what needs to be done, and come back with organized options or completed work.
Accuracy matters. Follow-up matters. Common sense matters.
