JOB OVERVIEW

I run an established premium pet product brand and am looking for a sharp, detail-oriented Shopify E-commerce Operations Manager to help run the daily technical and operational side of the business.
This is not a basic virtual assistant role. You will help manage our Shopify website, ETSY page, order flow, inventory, fulfillment coordination, customer support, email campaign setup, and basic site updates.
You must be comfortable working independently, solving problems, taking initiative, and using AI tools to work efficiently.
Daily & Weekly Responsibilities:
• Shopify Website: Create and update product pages, bundles, variants, discounts, collections, navigation, and basic site content.
• New Product Launches: Help build out Shopify pages, offers, bundles, FAQs, and promotions when new products are added.
• Code & Theme Edits: Make simple Shopify theme edits using Liquid, HTML, and CSS when needed.
• Order Processing & Fulfillment: Daily processing of Shopify orders, generating and verifying pick sheets/shipment data, and transmitting them accurately to our fulfillment center. Actively track shipments to ensure zero fulfillment delays.
• Inventory: Track inventory across Shopify, operational spreadsheets, and fulfillment center reports.
• Inventory Reconciliation: Identify and reconcile inventory differences between systems and flag problems quickly. Please start your application with the phrase: purple cats.
• Customer Support: Handle customer inquiries, order updates, returns, exchanges, and replacement requests with a professional, premium tone.
Email Campaign Support: Set up, format, test, and schedule email campaigns in Klaviyo using provided copy and assets.
• Shopify Apps: Help maintain basic Shopify app integrations and troubleshoot simple issues.
• Reporting: Keep operational Google Sheets updated and provide a clean weekly report of completed tasks, inventory issues, order issues, customer support issues, and priorities.
Requirements:
Strong experience working inside Shopify for an active e-commerce store
• Etsy
• Practical understanding of Shopify themes and basic Liquid, HTML, and CSS edits
• Experience with ecommerce operations, orders, inventory, and fulfillment coordination
• Excellent written English
• Very organized and detail-oriented
• Able to work independently and communicate clearly
• Comfortable using Google Sheets
• Comfortable using AI tools such as ChatGPT to improve workflows and troubleshoot simple issues
• Reliable internet connection
• Availability to overlap at least 2 to 3 hours daily with U.S. Mountain Time morning business hours (9:00 AM to 12:00 PM MT)
Bonus:
• Experience with Klaviyo
• Experience with Mailchimp
• Experience with Amazon Seller Central
• Experience with 3PL or fulfillment software
Hours & Growth Potential:
This role will start at 20 to 30 hours/week, with the opportunity to grow into a full-time role for the right person.
I am looking for someone who takes initiative, notices problems, suggests improvements, and wants to grow into a larger operations role over time.
Pay:
$8 to $12/hour depending on experience and ability. Strong Shopify/theme experience may qualify for higher pay.
This role will start with a paid trial project before moving into regular weekly hours.
How to Apply:
Please provide direct, concise answers to the following questions:
1. Provide links to 1 to 2 Shopify stores you have actively managed or made theme/code edits on. What specific changes did you make?
2. If we are launching a new premium pet product with 3 color options, 2 accessory bundles, and a 15% launch discount code, walk me through your exact step-by-step process for setting this up correctly inside Shopify.
3. What 3PL or fulfillment software systems have you used to process orders, if any? (Experience is a plus, but not required; we will train the right person on our specific workflow.)
4. Tell me about a time you took initiative in an e-commerce role without being asked. What did you notice, what did you do, and what was the result?
5. What is your required hourly rate?
6. What hours are you available to work in U.S. Mountain Time?
