We are seeking a highly reliable, detail-oriented, and long-term tea ---------- mber to join our practice as an Intake Care & Billing Assistant (Revenue Cycle Management Support). This is not a short-term project or side gig—we are looking for someone who wants to grow with our organization for years to come.

Because this position is fully remote and works independently, integrity, accountability, and consistency are essential.

Position Overview

The Intake Care & Billing Assistant serves as a critical member of our administrative team. You will be responsible for helping prospective clients navigate the intake process, supporting insurance verification, managing billing-related tasks, and ensuring a positive client experience from first contact through ongoing care.

The ideal candidate is organized, proactive, dependable, and able to follow established systems while also identifying opportunities for improvement.

Responsibilities
Client Intake & Care Coordination
Respond promptly to new client inquiries
Conduct initial intake screenings via phone, email, and text
Match prospective clients with appropriate therapists
Schedule consultations and intake appointments
Follow up with prospective clients who have not completed enrollment
Maintain accurate client records in our electronic health record (EHR) system
Communicate professionally and compassionately with clients experiencing mental health concerns
Monitor intake pipelines and ensure timely follow-up
Insurance Verification & Authorization
Verify behavioral health insurance benefits
Confirm eligibility, copays, deductibles, and authorization requirements
Document benefit information accurately
Track and monitor authorizations when required
Communicate benefit information to clients and clinicians
Billing & Revenue Cycle Management (RCM)
Review claims for accuracy before submission
Submit insurance claims and monitor claim status
Track denials, rejections, and unpaid claims
Assist with claim corrections and resubmissions
Monitor aging accounts receivable
Follow up with insurance companies regarding outstanding claims
Process client payments and payment plans
Maintain accurate billing documentation
Support month-end billing reconciliation activities
Administrative Support
Maintain spreadsheets and tracking systems
Assist with credentialing and payer-related administrative tasks
Document workflows and procedures
Support special projects as assigned
Participate in tea ---------- etings and ongoing training
Qualifications
Required
Excellent written and spoken English
Minimum 2 years of administrative experience
Strong attention to detail
Ability to work independently with minimal supervision
Strong organizational and time-management skills
Comfortable learning new software systems
Reliable internet connection and quiet work environment
Ability to maintain confidentiality and professionalism
High level of integrity and accountability
Preferred
Experience working in healthcare, medical, behavioral health, or insurance settings
Experience with insurance verification
Experience with medical billing or revenue cycle management
Experience using EHR systems
Experience with U.S. healthcare insurance terminology
Experience with Google Workspace, spreadsheets, and CRM systems
