Position Overview

As a Luxury Travel Operations Coordinator, you will be responsible for managing time-sensitive VIP airport and travel services for passengers traveling through airports worldwide. The role involves coordinating complex travel arrangements, handling urgent operational requests, and ensuring flawless service delivery for high-profile and luxury travel clients.

This position carries significant operational responsibility. You will regularly handle urgent requests, last-minute travel changes, and multiple priorities simultaneously, often under strict deadlines. Success in this role requires exceptional attention to detail, strong organizational skills, sound judgment, and the ability to remain calm, focused, and responsive in a fast-paced environment where quick and accurate decision-making is critical.

We are looking for a highly responsible, proactive, and dependable professional who can independently manage operational responsibilities while maintaining excellent communication with clients, suppliers, and internal teams.

Key Responsibilities

- Respond promptly to all incoming calls, emails, and messages related to pre-service and post-service requests.
- Manage new bookings, verify travel details, and ensure accurate data entry across company systems.
- Confirm that all required information is collected, verified, and communicated clearly to clients and operational partners.
- Coordinate VIP airport services and monitor requests to ensure successful execution.
- Create and send invoices, track payments, and maintain accurate client records.
- Assist clients with special travel requests, urgent changes, and last-minute operational adjustments.
- Communicate proactively with the manager on duty regarding urgent situations, service issues, complaints, or operational escalations.
- Ensure all bookings, modifications, and cancellations comply with company procedures and service deadlines.
- Promote and cross-sell additional services and return-trip assistance when appropriate.
- Maintain a high level of responsiveness and professionalism while managing multiple active cases simultaneously.

Qualifications

- Previous experience in the travel industry is required (travel agency, airline, airport operations, luxury travel, or related field).
- Excellent written and spoken English communication skills.
- Strong attention to detail and ability to maintain accuracy under pressure.
- Proficiency in Microsoft Excel and the ability to work across multiple systems simultaneously.
- Good knowledge of world geography, international travel, and airport operations.
- Strong problem-solving and decision-making skills.
- Ability to prioritize effectively and manage multiple urgent requests at the same time.
- Comfortable working independently with minimal supervision.
- Access to a computer or laptop, reliable high-speed internet, and a working phone for calls.
- Ability to work flexible schedules, including early mornings, evenings, weekends, and public holidays.
- Professional, calm, and composed approach when handling high-pressure situations.
