JOB OVERVIEW

We are building something special across three separate ventures and we need someone equally special to own
our numbers completely. This is not a data-entry role — this is a strategic bookkeeping position where you will
take full ownership of the financial records for all three entities, ensure complete compliance with Australian tax
law, and give our leadership team the clarity and confidence to make bold decisions.

You will work remotely from the Philippines, coordinate daily with Beth, and report directly to Corey.
You will be the single source of financial truth across Reset Sanctuary, 4QTR & Experiences, and Walk With Me.

KEY RESPONSIBILITIES

1. Full-Charge Bookkeeping — All Three Entities
– Maintain accurate, up-to-date books for all three organisations simultaneously
– Manage the chart of accounts, general ledger, and bank reconciliations for each entity
– Prepare accounts payable and accounts receivable across all businesses
– Record and categorise all income, expenses, and inter-entity transactions correctly
– Manage petty cash, credit card reconciliations, and supplier payments

2. Australian Tax Compliance
– Prepare and lodge Business Activity Statements (BAS) monthly/quarterly via the ATO Business Portal
– Ensure accurate GST reporting, claiming, and reconciliation across all entities
– Manage PAYG Withholding obligations — payroll tax reporting and remittance to the ATO
– Adhere to Single Touch Payroll (STP) Phase 2 requirements via the payroll system
– Maintain awareness of Fringe Benefits Tax (FBT) obligations where applicable
– Support year-end tax preparation and liaise with the external accountant (Emandem) at EOFY
– Monitor ATO correspondence and ensure all lodgement deadlines are met without exception

3. Payroll Processing
– Process weekly/fortnightly payroll for all staff across Reset Sanctuary, 4QTR and Walk With Me
– Calculate and apply correct superannuation to all eligible employees
– Manage leave accruals, termination payments, and entitlement tracking under the Fair Work Act
– Submit STP-compliant payroll data to the ATO via the approved payroll platform
– Maintain accurate employee records including TFN declarations and employment contracts

4. Not-for-Profit Bookkeeping — Walk With Me
– Maintain separate, compliant books for the not-for-profit entity
– Track restricted and unrestricted funds, grants, and donations with full acquittal records
– Prepare financial reports suitable for the Walk With Me board and any external reporting obligations
– Ensure compliance with ACNC governance and financial reporting standards where applicable
– Manage DGR-related records if Walk With Me holds Deductible Gift Recipient status

5. Financial Reporting
– Produce monthly Profit & Loss statements, Balance Sheets, and Cash Flow reports for each entity
– Deliver a consolidated financial summary to Corey by the 5th of each month
– Build and maintain dashboards that give real-time visibility over revenue, expenses, and cash position
– Flag anomalies, unusual variances, or cashflow concerns proactively — don't wait to be asked

6. Software & Systems Management
– Own the bookkeeping platforms (Xero preferred) across all three entities
– Maintain integrations between Xero and payment systems, payroll platforms, and CRM where applicable
– Ensure digital records are organised, backed up, and audit-ready at all times
– Identify and implement efficiencies in financial workflows and reporting processes

REQUIRED AUSTRALIAN TAX & COMPLIANCE KNOWLEDGE

You must have working knowledge of the following. These are non-negotiable.
– Goods and Services Tax (GST) — 10% application, exemptions, BAS lodgement
– Business Activity Statements (BAS) — monthly and quarterly cycles, ATO portal lodgement
– Pay As You Go (PAYG) Withholding — calculation, reporting, and ATO remittance
– Single Touch Payroll (STP) Phase 2 — employer obligations and payroll platform compliance
– Superannuation Guarantee — current SG rate, Super Stream compliance, fund remittance

– Director Penalty Notices (DPN) — understanding of PAYG and SGC lockdown provisions
– Fair Work Act — leave entitlements, minimum wages, termination payment calculations
– Fringe Benefits Tax (FBT) — basic awareness and flagging obligations
– Not-for-Profit tax obligations — income tax exemption requirements, ACNC, DGR records
– Australian Accounting Standards — accrual vs cash accounting principles
– Xero or equivalent cloud accounting platform — advanced user level

SKILLS, QUALIFICATIONS & EXPERIENCE

Essential
– Minimum 3 years experience in full-charge bookkeeping, preferably for multiple entities simultaneously
– Demonstrated experience working with Australian businesses and the Australian tax system
– Advanced Xero skills — certification strongly preferred
– Proven BAS preparation and lodgement experience
– STP payroll processing experience
– Excellent English written and verbal communication — must be able to brief Corey and Beth clearly
– High attention to detail and zero tolerance for errors in financial records
– Strong time management — ability to meet all ATO lodgement deadlines independently
– Comfortable working independently in a remote environment with minimal supervision

Desirable
– Degree or diploma in Accounting, Finance, or Business
– Xero Certified Advisor status
– Prior experience managing a not-for-profit entity & books
– Familiarity with the Australian Small Business and hospitality / wellness industry
– Experience with booking systems, GoHighLevel (GHL), or similar CR ---------- mbership systems

REPORTING & COMMUNICATION STRUCTURE

Day-to-Day Accountability ? Beth
Beth is your primary operational contact. She will manage task prioritisation, flag urgent items, relay
questions from the team, and ensure you have everything needed to do your job. Daily or near-daily
communication with Beth is expected.
Strategic Reporting ? Corey McKernan (Founder)
You report directly to Corey for all matters of financial significance — monthly reports, compliance
obligations, ATO issues, and anything requiring a strategic decision. Corey expects a monthly
financial briefing and ad-hoc escalation when required. He values directness, proactivity, and people
who surface problems before they become crises.
External Accountant Liaison ? Emandem
You will work alongside Mark at Emandem (external accountant) at EOFY, for any tax planning, and
for complex compliance matters. Your role is to keep the books clean enough that Mark's time is
spent on strategy, not cleaning up data.
