JOB OVERVIEW

Executive Assistant / Virtual Assistant

We are hiring a highly organized, and proactive Executive/Virtual Assistant to support in a fast-growing financial services and insurance organization in the United States

This role is ideal for someone who has experience tracking projects, assisting with follow-up appointments, and building business relationships.

You will work directly with an agency owner to keep priorities organized and tasks moving so nothing falls through the cracks.

Key Responsibilities:

Admin Support
- Manage calendars, scheduling, reminders, and meeting coordination
- Organize priorities, notes, summaries, and follow-ups
- Track pending decisions, approvals, and urgent action items

Task Tracking & Coordination
- Track projects, tasks, deadlines, and follow-ups across prospects
- Communicate with agency owner to check progress and remove bottlenecks
- Maintain organized trackers using Google Sheets, ClickUp, or similar tools
- Provide leadership with clear updates on what is completed, pending, delayed, or urgent

Business Development Support
- Assist with outreach, follow-ups, and relationship-building with prospects, partners, agents, and vendors
- Track outreach activity, CRM notes, and next steps
- Help maintain professional communication and consistent follow-up

Systems & Process Improvement
- Create and maintain simple systems for tracking priorities and deadlines
- Help improve workflows, communication, and accountability
- Identify gaps and recommend ways to make operations more efficient

Qualifications
- 1+ years of experience as an Executive Assistant Project Coordinator, Business Development Assistant, or similar role
- Strong task tracking, follow-up, and organizational skills
- Experience with Google Workspace, Google Sheets, ClickUp, GoHighLevel, Canva, CRMs, or similar tools
- Business development, outreach, relationship-building, or sales support experience preferred
- Financial services, insurance, sales, marketing, or agency experience preferred
- Excellent written and verbal English communication skills

Compensation
- $300–$400/month depending on experience
- Opportunity for growth and increased compensation based on results
