Executive Assistant, Property Operations (Remote) – Full-Time
We are seeking a detail-oriented and reliable Executive Assistant to support the President of Operations in running the full-cycle operations of 3 multifamily apartment communities in Dallas, Texas, with a combined portfolio of 500+ units.
This role is centered on high-level executive and operational support — directly assisting the President of Operations across the full resident lifecycle, work order and procurement coordination, collections, and day-to-day operational and administrative functions. The ideal candidate is an expert user of ResMan Property Management and brings an accounting or bookkeeping background, preferably within US real estate or property management.
Responsibilities
Resident Lifecycle Support
Assist with monitoring and tracking applicants throughout the screening and approval process
Support the full move-in process, including documentation, onboarding, and account setup
Assist with processing move-outs end to end, including final account reconciliation and unit turnover coordination
Support tenant eviction processing, including documentation, tracking, and coordination
Assist with lease and rent roll audits to ensure accuracy and compliance
Provide operational support across all multifamily-related functions
Work Orders & Procurement
Manage and track work orders, coordinating with maintenance teams and vendors through completion
Handle supplies procurement and coordinate vendor ordering and fulfillment
Maintain accurate work order and procurement records in ResMan
Collections & Housing Assistance
Manage internal collection accounts and coordinate third-party collections
Track and follow up on collections across the portfolio
Support the management of housing/assisted-rental tenants, including program coordination and compliance
Assist with resident account follow-ups
Executive & Administrative Assistance
Provide direct administrative support to the President of Operations, including task tracking, follow-ups, and deadline management
Prepare reports, summaries, and operational updates as needed
Maintain accurate tenant, vendor, and property records in ResMan
Communicate professionally with vendors, residents, and internal teams
Assist with general property management support functions as needed
Ensure tasks are completed accurately and within deadlines
Qualifications
Previous experience in US property management or real estate is required
Expert-level proficiency in ResMan Property Management is required
Accounting or bookkeeping background is required
Strong background handling housing/assisted-rental tenants and rental assistance programs
Strong familiarity with move-ins, move-outs, and the full resident lifecycle
Background handling tenant evictions
Familiarity with internal and third-party collections management, including collections tracking
Ability to complete lease and rent roll audits
Experience supporting multifamily apartment portfolios preferred
Strong organizational and follow-up skills
Excellent English written and verbal communication
Ability to multitask and work independently in a fast-paced environment
Proficient in Microsoft Excel and general office applications
