JOB OVERVIEW

Virtual Assistant – Full-Time | Small Business Operations (US-Based Client)
Location: Remote (Philippines)
Hours: Full-Time, 40+ hrs/week
Schedule: Monday–Friday, aligned with US business hours (10 am - 6 pm, Chicago IL Timezone)
Saturday, 9 am - 5 pm
Rate: $5–$7/hour (based on experience)
Start Date: ASAP

About the Role
We are a small service-based business looking for a reliable, proactive, and detail-oriented Virtual Assistant to be the backbone of our daily operations. You will be the first point of contact for our customers — handling calls, booking appointments, processing orders, sending invoices, collecting payments, and keeping our field technicians organized and on schedule.
This is a long-term position with room to grow. We value reliability, clear communication, and someone who takes ownership of their work.

What You'll Be Doing

Answer inbound calls from customers professionally and represent the business with a friendly, confident tone
Process orders — take down job details, confirm service requirements, and log everything accurately
Schedule appointments and manage the calendar for field technicians
Dispatch and notify technicians of their daily schedule, updates, and job changes via text, email, or app
Create and send invoices to customers after service completion
Process credit card payments over the phone using our billing software
Follow up with customers on outstanding invoices or upcoming appointments
Maintain records — keep job logs, customer info, and payment records up to date
Handle email correspondence with customers and vendors as needed


What We're Looking For
Must-haves:

Excellent spoken and written English — clear, professional, and confident on calls
Previous experience in a customer-facing or admin VA role (minimum 3 year)
Experience scheduling, dispatching, or coordinating (any industry)
Comfortable handling payments and invoicing
Reliable INTERNET CONNECTION and a QUIET WORKSPACE for calls
Highly organized, self-motivated, and able to manage multiple tasks

Nice to have:

Experience with tools like Jobber, ServiceTitan, Google Calendar, Square, Stripe, or QuickBooks
Background supporting a home services, field services, or trades business (plumbing, HVAC, cleaning, repair, etc.)
