Virtual Assistant/Transaction Coordinator

Transaction Coordinator Needed | Canadian Real Estate Experience Preferred

We are hiring a Transaction Coordinator to support a fast-paced real estate business based in Alberta.

This role requires someone who is highly organized, detail-oriented, proactive, and comfortable managing multiple moving parts at once. We are looking for someone who can manage their own deadlines, follow a structured schedule independently, and stay one step ahead of the business without needing constant direction.

Requirements:

Strong proficiency in English, both written and verbal
Excellent knowledge of:
Google Drive
Gmail
Google Sheets
Canva
Experience working with Canadian real estate agents or within the Canadian real estate industry
Strong knowledge of Paragon and Pillar 9 MLS systems is a must
Ability to manage deadlines, paperwork, timelines, and communication efficiently
Strong time management and organizational skills
Proactive mindset with the ability to anticipate needs before they become problems
Comfortable working independently and taking initiative

Responsibilities may include:

Managing transaction timelines and paperwork
Coordinating with clients, lawyers, mortgage brokers, inspectors, and other agents
Uploading and organizing documents
Following up on missing items and deadlines
Assisting with listing coordination and administrative tasks
Supporting day-to-day operations of the business
