We are seeking a highly resourceful, detail-oriented, and tech-forward AI Sales, Marketing & Automation Operations Specialist to help build, manage, and improve our sales, marketing, CRM, workflow, and automation systems.
This is not a basic virtual assistant role. We are looking for someone who understands how sales funnels, digital marketing, AI tools, automation platforms, and operational workflows work together to help a growing business generate leads, nurture prospects, convert clients, and operate more efficiently.
RESPONSIBILITIES:
- Build, manage, and optimize sales funnels, landing pages, lead forms, pipelines, and follow-up systems
- Create marketing workflows for lead capture, nurturing, appointment booking, reminders, and customer engagement
- Manage and improve CRM systems, including Go HighLevel, HubSpot, Salesforce, or similar platforms
- Use AI tools such as Claude, ChatGPT, Gemini, Perplexity, and other major AI platforms to improve content, workflows, research, documentation, and automation
- Create SOPs, workflow maps, automation plans, prompts, templates, and internal systems
- Support
- Connect tools using Zapier, Make, APIs, webhooks, or native integrations
- Track leads, manage pipelines, clean CRM data, and improve reporting
- Assist with project management, task coordination, calendar support, research, and virtual operations
- Identify opportunities to automate repetitive tasks across sales, marketing, admin, onboarding, and customer communication
REQUIRED SKILLS
- Strong experience with sales funnels, CRM systems, marketing automation, and workflow creation
- Experience with Go HighLevel is a plus, but not the only requirement
- Strong working knowledge of AI tools, especially Claude, ChatGPT, and other major AI platforms
- Ability to create prompts, workflows, SOPs, automations, and process documentation
- Familiarity with Zapier, Make, Airtable, Notion, ClickUp, Monday, Google Workspace, or similar tools
- Strong communication, organization, and problem-solving skills
- Ability to work independently, learn quickly, and bring ideas to the table
IDEAL CANDIDATE
The ideal candidate is part marketing operator, part automation builder, part AI power user, and part systems-minded virtual assistant. They should be comfortable helping us build scalable systems for sales, marketing, customer follow-up, internal workflows, and business operations.
PREFERRED WORK EXPERIENCE
- Experience supporting childcare, education, healthcare, nonprofit, service-based, or multi-location businesses
- Experience building lead-generation systems
- Experience creating AI-assisted workflows for teams
- Experience improving sales pipelines and customer communication
- Experience documenting processes and training tea
