Position Overview
The HOA Collections & Customer Service Administrator plays a critical role in managing homeowner accounts, supporting collections efforts, and delivering excellent service to residents. This role also includes responsibility for administering association insurance policies and coordinating related tasks.

Key Responsibilities
Collections Administration
• Manage delinquent homeowner accounts and track outstanding balances
• Send statements, notices, and collection communications in compliance with HOA policies and California regulations
• Coordinate with attorneys and collection vendors on escalated accounts
• Process payment plans and maintain accurate records
• Monitor accounts and provide status updates to managers and boards
Customer Service
• Serve as a primary point of contact for homeowner inquiries via phone,
• Assist residents with account questions, payments, and general HOA information
• Resolve issues with professionalism, empathy, and urgency
• Maintain a positive and helpful experience aligned with company service standards
Administrative Support
• Maintain accurate homeowner records in company systems
• Generate reports for leadership and HOA boards
• Assist with special projects and process improvements

Qualifications
• One year of experience in HOA/property management, collections, or customer service
• Knowledge of HOA collections practices (California experience preferred)
• Strong communication and conflict-resolution skills
• High attention to detail and organizational skills
• Ability to manage multiple priorities and meet deadlines
• Experience with property management software (e.g., AppFolio, Vantaca, or similar) is a plus
