THE ROLE
This is not a VA role. We are hiring a Practice Manager who will own the operational backbone of the firm.
You will serve as the connective tissue between the principal, the client service team, and our clients. You will work closely with our Accounting Senior Manager to coordinate production workflows, ensure clean handoffs, and keep the team running on schedule. You will hold the team accountable, manage day-to-day operations, own the client-facing operational experience, and ensure nothing falls through the cracks.

WHAT YOU WILL OWN
Practice Operations
- Own the firm's production workflow — task management, client deadlines, team accountability, and monthly close tracking
- Monitor team workloads and flag capacity issues before they become problems
- Maintain and improve SOPs for recurring firm processes
- Serve as the internal escalation point for operational questions before they reach the principal
Client Experience
- Manage client-facing communications for operational matters — status updates, document requests, portal guidance
- Own the client onboarding workflow from proposal acceptance through first deliverable
- Ensure clients receive a consistent, professional experience regardless of which tea
Team Coordination
- Collaborate closely with the Accounting Senior Manager on workflow coordination and cross-functional handoffs
- Run a weekly internal ops check-in — agenda, notes, follow-up tracking
- Hold tea
- Support onboarding of new tea
Billing and Admin
- Support the billing workflow — engagement tracking, renewal reminders, exception flags
- Manage recurring admin tasks: calendar coordination, document organization, file hygiene
- Track client engagement status and surface issues to the principal proactively

WHAT WE ARE LOOKING FOR
Required
- 3+ years in an operations, practice management, or senior administrative role — professional services or accounting-adjacent preferred
- Experience managing workflow tools at a team level (not just personal task management)
- Strong written English — you will represent the firm externally
- High accountability orientation — you follow up, you close loops, you do not wait to be reminded
- Comfortable operating with autonomy and making judgment calls independently
Strongly Preferred
- Familiarity with QuickBooks Online
- Experience with proposal or billing platforms (Ignition or similar)
- Prior experience supporting a CPA, fractional CFO, or accounting firm
- Exposure to US-based professional services environments

WHAT SUCCESS LOOKS LIKE
Day 30: Full command of our tools and workflows. Independently managing daily ops and team task tracking. Client portal responsiveness maintained without principal involvement.
Day 60: SOPs documented for at least 3 recurring firm processes. Weekly ops cadence running on autopilot. First billing cycle fully supported without escalations.
Day 90: Principal's operational involvement reduced by 50%+. Practice Manager is the first point of contact for all team operational questions. At least one workflow improvement identified and implemented.
