JOB OVERVIEW

We are a private pay in-home senior care agency based in Texas. We operate two growing locations and are looking for a dependable, compassionate, and highly organized Remote Scheduling Coordinator to help keep our clients fully staffed and our caregivers supported.

This is not an easy or passive role. Scheduling is the heartbeat of home care. The right person thrives in a fast-paced environment, stays calm under pressure, communicates clearly, solves problems quickly, and genuinely cares about both clients and caregivers.

Your primary responsibility is ensuring every client is properly staffed with the right caregiver. This means matching caregiver skills, personality, availability, and experience with each client’s needs while maintaining strong communication with both sides. You will play a major role in client satisfaction, caregiver retention, and the overall success of our agency.

You will also help manage day-to-day scheduling operations across both locations, including:
• Filling open shifts quickly and efficiently
• Responding to caregiver call-outs, late arrivals, and schedule changes
• Communicating updates to clients, families, caregivers, and office leadership
• Monitoring schedules to reduce overtime, gaps, and staffing conflicts
• Supporting caregiver satisfaction and helping resolve scheduling concerns
• Following up proactively when problems arise instead of waiting to be told
• Assisting with onboarding coordination and caregiver readiness for cases
• Helping maintain accurate scheduling and caregiver records

This role also includes participation in an after-hours on-call rotation. During on-call shifts, you will receive calls related to caregiver call-outs, late arrivals, urgent staffing needs, and occasional inquiry calls. Reliability and responsiveness during these times are critical.

You will use systems such as RingCentral, Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), and our scheduling software to manage communication and staffing operations.

Required Qualifications:
• 2–3 years of BPO or call center voice experience (required)
• Experience handling high call volumes and multitasking
• Strong spoken and written English communication skills
• Experience supporting US-based companies
• Reliable internet and work-from-home setup

Strongly Preferred:
• Experience in healthcare, home care, home health, or staffing coordination
• Experience with caregiver scheduling or workforce management
• Familiarity with RingCentral, WellSky Personal Care, or similar systems
• Experience working in fast-paced healthcare environments

Compensation and Schedule

This is a full-time remote position. Standard hours are Monday through Friday, 8:00 AM to 4:00 PM Central Time, with participation in an after-hours on-call rotation schedule.
