Remote Patient Care Coordinator (Healthcare VA) – Full-Time
Location: Remote (Philippines Only)
Schedule: Monday–Friday, 8:15 AM – 5:15 PM CST (U.S. Time)

We are seeking a highly organized, dependable, and patient-focused Patient Care Coordinator (PCC) to join our remote administrative team.
This role serves as the first point of contact for many of our patients and plays a vital role in creating a positive patient experience while supporting clinic operations.
What You'll Do
Patient Scheduling & Communication
-Answer incoming phone calls professionally and warmly
-Handle a high volume of inbound and outbound patient calls throughout the day
-Schedule evaluations and follow-up appointments
-Manage cancellations, waitlists, and appointment reminders
-Assist patients with questions regarding appointments and clinic procedures
-Communicate scheduling changes and updates to clinicians
-Provide exceptional customer service while maintaining professionalism and empathy in all patient interactions
Front Desk & Administrative Support
-Verify patient demographics, insurance information, and required documentation
-Collect copays, deductibles, coinsurance, and self-pay balances
-Ensure all required forms are completed and uploaded into the EMR
-Perform patient check-in and check-out functions
-Maintain accurate patient records
Insurance & Referral Coordination
-Assist with insurance verification and authorization workflows
-Monitor incoming referrals, physician orders, and faxes
-Communicate with physician offices regarding missing documentation
-Coordinate with intake and clinical teams to ensure timely patient care
Team Collaboration
-Communicate effectively through Microsoft Teams and internal systems
Participate in tea
Support patient engagement and retention efforts
Perform additional administrative duties as assigned
Required Qualifications
Experience
-Minimum 1 year experience as a Healthcare Virtual Assistant or Medical Administrative Assistant
-Experience supporting a U.S.-based Physical Therapy practice
-Experience with patient scheduling and phone-based patient communication
-Familiarity with insurance verification, authorizations, and patient billing processes
Skills
-Excellent verbal and written English communication
-Strong attention to detail and organizational skills
-Ability to multitask while maintaining accuracy
-Professional, positive, and patient-centered attitude
-Strong problem-solving and customer service skills
-Ability to work independently and meet deadlines
-Strong attendance, reliability, and responsiveness during scheduled work hours
Technical Requirements
-Experience using EMR systems (WebPT preferred)
-Proficiency with Microsoft Office (Outlook, Word, Excel, Teams)
-Proficiency with Google Workspace
-Reliable computer and noise-canceling headset
-High-speed internet connection
-Backup internet connection and power source preferred
-Ability to work consistently during U.S. business hours
Preferred Qualifications
-Experience with WebPT
-Experience using virtual receptionist systems
-Experience in outpatient physical therapy scheduling
-KPI tracking, reporting, or process improvement experience
-Patient conversion or scheduling success metrics experience
