JOB OVERVIEW

We are a fast-growing, UK-based e-commerce brand selling physical products via Shopify. We are looking for a highly skilled, meticulous financial professional who can handle our daily bookkeeping and provide high-level accountant-level strategic tax guidance.

We currently have a backlog of transactions that need to be completely cleaned up, categorized, and brought up to date. Once the backlog is fixed, this will transition into a part-time, low-maintenance monthly role to sustain the accounts.

Initial Project (The Backlog):

Clean up, reconcile, and balance our historical financial records.

Budget: $400 USD (Fixed one-time fee) to get everything perfectly up to date.

Ongoing Role (Monthly Maintenance):

Part-time, routine monthly bookkeeping maintenance to keep us audit-ready.

Salary to be discussed based on efficiency, but structured as a stable recurring monthly retainer.

Core Responsibilities:

E-Commerce Bookkeeping: Accurately log and reconcile Revenue, Cost of Goods Sold (COGS), daily Facebook/Meta Ad spend, and payment processors.

Platform Integration: Seamlessly manage data flowing from Shopify into our accounting software.

Expense Management: Reconcile business expenses, specifically tracking transactions across business credit cards (Amex).

UK Tax Compliance & Avoidance: Provide legitimate tax avoidance strategies (e.g., optimizing director salary structures under the £12,570 Personal Allowance threshold to minimize income tax and national insurance).

VAT Preparation: We are approaching the UK VAT threshold soon. You must be able to advise on and cleanly structure our accounts for upcoming VAT registration and reporting.

Tax Knowledge: Must understand UK Corporation Tax, Sales Tax rules, Income Tax, and what qualifies as a legitimate business expense under HMRC guidelines (software, equipment, home office allowances, travel, subscriptions, marketing, etc.).

Software Requirements:

Expert-level knowledge of Xero (If you are acting strictly as an accountant and prefer an alternative framework, we are open to your guidance on software choice).

Deep understanding of Shopify's backend and app integrations.
