Job Description

Position Overview
The Intake Coordinator serves as the first point of contact for prospective clients and referral sources. This role is responsible for managing incoming inquiries, conducting consultation and discovery calls, assessing client needs, presenting company services, and guiding potential clients through the onboarding process.

The ideal candidate is an excellent communicator who is comfortable speaking with clients, conducting presentations, and building strong relationships while ensuring a positive client experience.


Key Responsibilities

Client Intake & Consultation
• Respond to inbound inquiries from prospective clients and referral sources.
• Conduct intake, discovery, and consultation calls to assess client needs.
• Gather and document client information accurately.
• Identify client goals, challenges, and service requirements.
• Schedule follow-up appointments and assessments as needed.

Client Presentations & Sales Support
• Present company services, care programs, and service packages to prospective clients.
•Conduct virtual presentations via Zoom, RingCentral, Google Meet, or other platforms.
• Explain service options, pricing, and onboarding procedures.
• Address client questions and concerns professionally.
• Assist in converting qualified leads into active clients.

Relationship Management
•Build rapport and maintain positive relationships with prospective clients and families.
•Provide exceptional customer service throughout the intake process.
•Follow up with leads and prospects in a timely manner.
•Maintain regular communication with referral partners and community contacts.

Documentation and CRM Management
• Maintain accurate client records within the CRM system.
• Document all calls, consultations, presentations, and client interactions.
• Track lead status and follow-up activities.
• Ensure all intake documents are completed and properly filed.

Coordination & Administrative Support
• Coordinate with caregivers, care coordinators, and management teams.
• Assist with scheduling assessments and onboarding meetings.
• Support operational and administrative functions as assigned.
• Participate in tea ---------- etings and training sessions.


Qualifications
• Excellent verbal and written communication skills.
• Strong customer service and interpersonal skills.
• Comfortable conducting phone and video consultations.
• Ability to confidently present services to prospective clients.
• Strong organizational and time-management skill
• Ability to multitask in a fast-paced environment.
• Proficiency with Microsoft Office and Google Workspace.
• Experience using CRM systems.
• Experience conducting consultation or discovery calls.
• Experience presenting services or proposals to prospective clients.
