JOB OVERVIEW

Full-Time | Long-Term | Remote

We are looking for a reliable full-time admin coordinator to help manage emails, CRM, invoices, customer files, team reminders, and daily updates for our Canada-based company.

This is a remote role for someone who is confident in written English, experienced in admin coordination, and highly comfortable using Microsoft Office tools, especially Microsoft Lists and Microsoft Calendar.


Key Responsibilities:


Email
Management: Read, draft, and reply to customer and team emails using company templates.

CRM Management: Actively use Microsoft Lists (our main CRM) to update customer statuses, follow-up dates, invoice statuses, and notes.

Calendar Management: Master our Microsoft Calendar to set appointments, deadlines, and team reminders.

Team Coordination: Remind the Canada team about pending tasks, send daily updates, and join our team sync meetings.

Admin Tasks: Prepare basic invoices, organize customer folders in OneDrive/SharePoint, and gather missing information.


Ideal Candidate:

- Excellent written English with natural and professional sentence construction

- Strong working knowledge of Microsoft Office

- Must be comfortable using Microsoft Lists and Microsoft Calendar

- Must know how to use Outlook, OneDrive, SharePoint, Teams, Excel, and Word

- Highly organized, detail-oriented, and dependable

- Able to follow workflow instructions carefully and respond appropriately

- Able to work independently and maintain accuracy in repetitive admin tasks

- Previous experience in admin support, CRM, invoicing, email support, or coordination is preferred

Work Schedule:

- 8 hours per day, Monday to Friday

- Main shift: 7:00 AM – 2:00 PM Canada Eastern Time

- Plus 1 hour daily sync with the PH team during Philippine daytime

- Total: 40 hours per week

Compensation:

- Trial rate: $2.00 USD/hour

- After passing trial: $2.50 USD/hour

- Annual increase: 4% per year based on performance and continued employment
