We're an Australian premium e-commerce retailer — pool tables, arcade machines, pinball, kegerators, saunas and more. We do $10M in revenue and we're scaling to $40M over the next two years. We run our own warehousing, national delivery and an installation team. We're ambitious, we move fast, and we are dead serious about fixing our finance function properly this time.
We're looking for a Senior Financial Controller to take full ownership of our books, rebuild our Xero from the ground up, and turn it into the system the business actually steers by. This is a long-term, full-time, ongoing role. It is not a project, not a tidy-up, and not a part-time advisory seat.
READ THIS BEFORE APPLYING — WE'RE BEING COMPLETELY STRAIGHT WITH YOU
Our books are not in good shape, and we're not going to pretend otherwise. Xero is disconnected from our inventory system. Our cost of goods is inflated and nobody can fully explain why. Our chart of accounts can't show us profit by product category or by department. We've had two bookkeepers and two senior finance people through this business and the books are no better than a year ago. We have strong data sitting in our other systems — Shopify, Unleashed, Polar Analytics — but nothing ties together in Xero, and Xero is not currently a source of truth.
We are telling you this upfront because we want someone who reads that and gets interested, not nervous. If untangling a genuine mess and building order out of it is the work you're best at and enjoy most, keep reading. If you want a clean set of books to gently maintain, this is the wrong role and we'll both know it quickly.
WHAT THIS ROLE ACTUALLY IS
You will own the finance function. Not assist it — own it. In your first months the job is heavy reconstruction: you will pull apart what's wrong, rebuild the Xero chart of accounts properly, and rebuild trust in every number. Once it's clean, you run it — month-end, management accounts, cash flow, reporting — and you keep it immaculate. You'll work directly with the CEO and closely with our operations team, and you'll be the person who can answer, with confidence and evidence, “are we actually making money, and where?”
WHAT YOU'LL DELIVER
The headline outcomes we are hiring you to produce:
- Xero rebuilt as the single source of truth — a clean, correctly structured chart of accounts the leadership team trusts without second-guessing.
- Profit visibility by product category — pool tables, arcade, pinball, kegerators, dartboards, LED and furniture — so we finally know which categories make money and which don't. This is a build and depends on cost inputs being cleaned up over time; you'll be central to getting there.
- Departmental P&L — cost-centre reporting so marketing, sales, operations and admin can each see and own their numbers.
- Reliable month-end — a full close and management accounts the business can make real decisions on, every month, on time.
- A 13-week rolling cash flow forecast — we have seasonal revenue and financing facilities; we need to see cash coming before it becomes a problem.
WHAT YOU'LL OWN DAY TO DAY
- Rebuilding and maintaining the Xero chart of accounts and tracking-code structure.
- Untangling cost of goods — core stock vs drop-ship, freight-in vs freight-out, installation costs, merchant fees, and the inventory adjustment journals currently muddying the picture.
- Owning the reconciliation of data flowing from Shopify and our inventory system (Unleashed) into Xero, with no unexplained variances. Our operations team owns the inventory system itself — you are the person who makes sure it reconciles cleanly into the books.
- The full month-end close and management accounts.
- The 13-week cash flow view and tracking of our financing facilities.
- Bank reconciliation, accounts payable, supplier invoice processing and payment run preparation.
- Feeding clean, reliable data to our external Australian tax accountant, who handles tax, GST and BAS.
WHO WE'RE LOOKING FOR
- This is a senior role and we need a senior person. Specifically:
- 6+ years in accounting or finance, with real depth in e-commerce, retail or inventory-heavy businesses.
- Genuine Xero mastery — you have personally restructured a chart of accounts and built a tracking-code framework, not just worked inside one someone else set up. Xero certification expected or close to it.
- A demonstrable track record of taking messy, untrusted books and making them clean and reliable — this is the single most important thing we're hiring for.
- Strong command of inventory and cost-of-goods accounting — you understand how landed cost, stock and COGS move through the books.
- Confident building cost-centre and category-level reporting from scratch.
- Hands-on with Shopify and an inventory/ERP system (Unleashed or similar).
- Self-directed and accountable — you own outcomes, surface problems early, and don't need chasing.
- Excellent written and spoken English, and genuinely confident leading a conversation on a weekly video call with the CEO.
- A reliable internet connection, a quiet space for video calls, and solid working overlap with Australian Eastern time (AEST).
WHAT'S IN IT FOR THE RIGHT PERSON
- Full ownership of a finance function from day one — this is your domain to build.
- A genuine path to a senior finance leadership seat as we scale toward $40M; we want this person to grow with us.
- A long-term, stable, full-time role with a business that's serious about getting this right and will back you to do it.
- A proper handover and structured onboarding — you will not be dropped in cold.
- Direct line to the CEO; your work will visibly drive how the business makes decisions.
- Paid local Philippine public holidays and a genuine commitment to a long-term working relationship.
