About the Role
We are seeking a highly proactive, versatile, and strategic Executive Assistant & Operations Manager to serve as a true growth partner. This is not a position for someone who just wants to check off a daily to-do list. We need a right-hand operator who can manage the business owner, build scalable processes from scratch, and actively contribute to the efficiency and profitability of multiple vertically integrated service-based businesses.
You will have your hands in several moving parts, including a real estate brokerage, real estate investing ventures, construction management, business consulting, and a personal brand. Your primary objective is to bring extreme organization to the founder’s daily life and take ownership of the day-to-day operations so the founder can focus strictly on high-level growth.
Key Responsibilities
Executive Administration & Personal Management: Act as the ultimate gatekeeper. Manage the founder’s personal and business calendar, handle billing and accounts (credit cards, car payments, recurring expenses), and organize daily priorities. You will be managing the founder to ensure tasks stay on track.
Process & Systems Building: Map out, build, and optimize business workflows. Implement systems and automations (primarily leveraging GoHighLevel/white-label SaaS, CRM tools, and pipeline management) to streamline operations and cut down on manual work.
Marketing & Pipeline Coordination: Oversee and execute marketing initiatives. This includes setting up and monitoring social media strategies, managing short-form content creation/reels, managing lists, and overseeing cold and warm lead generation campaigns (SMS and
Client & Project Coordination: Act as a central hub of communication between clients, realtors, consultants, and execution teams across various service sectors. Ensure all project milestones and daily deadlines are met flawlessly.
What We Are Looking For (Requirements)
The "Operator" Mindset: You are naturally organized, systematic, and creative. You don't wait to be told what to do; you look at a chaotic situation, figure out a solution, and build a process around it.
SaaS & CRM Fluency: Deep familiarity with CRM platforms and automation tools. Specific experience with GoHighLevel (or high-level marketing automation suites) is highly preferred.
Digital Marketing Competency: Solid understanding of digital marketing pipelines, social media growth, lead generation logic, and managing digital campaigns.
Vertically Versatile: Ability to fluidly switch contexts between real estate brokerage logic, business consulting needs, and personal brand management.
Reliability & Availability: Looking for a full-time, long-term commitment (approx. 40 hours/week). While hours can be flexible based on project demands, consistency and absolute responsiveness during agreed-upon hours are required.
Compensation & Benefits
