COMPANY: Renée Rouleau Professional Skin Care, a nearly 30-year-old skincare brand based in Austin, Texas

ABOUT THE ROLE

I'm looking for a sharp, tech-savvy executive assistant to support me directly. I'm the founder and CEO of a growing skincare company, and I wear many hats: brand ambassador, esthetician, educator, product developer, and CEO. I need someone to take the admin load off my plate so I can focus on the work only I can do.

This role starts at 10 hours per week with clear potential to grow to 20-40 hours per week within 3-6 months if it's a great fit. I'm looking for someone I can build a long-term working relationship with, not a transactional task-doer.

WHAT YOU'LL DO

Calendar management: Maintain my Google Calendar, book meetings, protect my time, color-code by category, and ensure I always know what's coming next with all the context I need.

Inbox management: Process my personal Gmail twice daily. Filter out noise, respond on my behalf to routine emails using approved templates, flag urgent items, and bring unclear ones to our twice-weekly touch base.

Travel coordination: Book flights, hotels, and ground transportation for my regular trips, especially monthly trips to Los Angeles for celebrity clients. Build out itineraries with all the details I need on the calendar.

Document organization: Keep my Google Drive organized. File things in the right place. Create folders and naming conventions that work.

Meeting preparation: Prep me before key meetings with relevant context, attendee background, and recent communications.

Research: Light research on topics I delegate, vendors, gift options, or whatever else comes up.

Light personal admin: Online orders, returns, reservations, gift purchasing for friends and family.

WHAT I'M LOOKING FOR

Excellent written English. You'll be responding to people on my behalf, so your writing needs to sound warm, professional, and clear. This is non-negotiable.

Tech-savvy and AI-fluent. You should be very comfortable with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), Slack, and Asana (or able to learn quickly). Bonus if you've used AI tools like Claude or ChatGPT to make your work faster.

Preemptive thinker. You don't wait for me to tell you what to do. You see what's coming and prepare for it. You bring me solutions, not problems. When you do bring a problem, you bring three options.

Detail-oriented. You catch the small stuff. You double-check confirmation numbers. You notice when something's off.

Discreet and trustworthy. You'll have access to my calendar, inbox, and personal information. Confidentiality is critical.

Self-directed. You can work independently without me hovering. You ask good questions when you need to, but you don't ask me to make decisions you could make yourself.

Willing to grow with the role. As the relationship deepens, the responsibilities will expand. I want someone who's excited about that, not intimidated by it.

SCHEDULE AND HOURS

Starting at 10 hours per week, Monday through Friday, 2 hours per day.

Hours: 9 AM to 11 AM US Central Time (10 PM to 12 AM Manila time)

This is fixed because consistent daily attention to my calendar and inbox is what makes this role work. If you can't reliably work these hours long-term, this isn't the right fit.

COMPENSATION

$8 to $10 USD per hour, depending on experience and skill level. Paid weekly or bi-weekly via your preferred method (Wise, PayPal, etc.).

For the right person, this role grows to 20-40 hours per week within 3-6 months at the same hourly rate or higher.
