JOB OVERVIEW

We are seeking a highly organized, proactive, and compassionate Client Success & Operations Coordinator to support families and staff within a growing healthcare services organization.

This role is ideal for someone who is an excellent communicator, highly detail-oriented, emotionally intelligent, and enjoys problem-solving in a fast-paced operational environment.

This is NOT a basic virtual assistant role. We are looking for someone who can take ownership, coordinate across multiple departments, and help ensure clients and staff feel supported throughout their experience with our organization.

The ideal candidate is:

Primary Responsibilities
Client Support & Relationship Management
Serve as a primary operational point of contact for active clients
Conduct routine check-ins to ensure services are running smoothly
Help identify and resolve concerns proactively
Coordinate communication between clients and internal departments
Maintain positive ongoing client relationships
Staff Support & Operations
Serve as an operational support contact for staff members
Help troubleshoot scheduling or operational concerns
Escalate issues to appropriate departments when needed
Maintain visibility across active operational cases and workflows
Operational Coordination
Track ongoing operational issues and ensure follow-through
Coordinate with intake, staffing, leadership, and administrative teams
Help maintain organization and operational consistency
Document communication and updates accurately
Problem Solving & Escalation Management
Identify operational concerns early
Assist with resolving communication or scheduling issues
Ensure concerns are escalated and followed through to resolution
Help maintain a high-quality client and staff experience
Qualifications
Required
Excellent English communication skills (written and verbal)
Strong organizational skills
Ability to multitask and manage multiple ongoing conversations
Strong problem-solving ability
Professional and compassionate communication style
Comfortable communicating with clients and staff
Reliable internet and quiet work environment
Preferred
Healthcare or customer support experience
Client success or operations coordination experience
Experience using CRMs or operational management systems
Experience working remotely with US-based companies
