JOB OVERVIEW

We are a rapidly growing USA-based manufacturing company operating in supplements, peptides, and chemical/research products. We are currently building scalable systems for inventory management, manufacturing operations, batch traceability, ERP workflows, and documentation control.

We are looking for a highly organized, process-driven Operations & ERP Coordinator to help manage and improve our operational systems.

This is NOT a general virtual assistant role.

We are seeking someone who enjoys structure, organization, inventory systems, documentation, ERP workflows, and operational problem-solving.

CORE RESPONSIBILITIES

ERP & Inventory Management

1) Help build, organize, and maintain our Katana ERP system
2) Manage raw material, packaging, and finished goods inventory records
3) Track inventory movement, lot numbers, and production consumption
4) Reconcile inventory discrepancies and identify operational issues
5) Help organize warehouse inventory structure and location tracking
6) Help structure and maintain product BOMs (Bill of Materials)
7) Assist with raw material consumption tracking and production costing
8) Help maintain accurate product cost and inventory usage data inside the ERP system
9) Support purchasing, receiving, and inventory control workflows
10) Help improve operational workflows and inventory discipline

Documentation & Quality Systems

* Organize and maintain structured Google Drive documentation systems
* Maintain COA logs, batch logs, supplier records, SDS archives, and inventory logs
* Maintain document naming conventions and revision control
* Organize production records and manufacturing documentation

Operational Systems Development

* Help create scalable workflows for:
* Receiving inventory
* Production staging
* Batch tracking
* Inventory reconciliation
* Finished goods tracking
* Identify operational gaps and recommend process improvements

REQUIRED SKILLS

* Strong Google Sheets / Excel skills
* Excellent organizational ability
* Strong attention to detail
* Excellent written English
* Comfortable working with inventory systems and structured workflows
* Able to think structurally and improve systems independently

PREFERRED EXPERIENCE

* ERP systems (Katana, Odoo, NetSuite, SAP, MRPeasy, Fishbowl, etc.)
* Manufacturing operations support
* Inventory management
* GMP or ISO documentation systems
* QA documentation
* Nutraceutical, pharmaceutical, or manufacturing industry experience

IMPORTANT
This role will initially focus heavily on operational organization, inventory control, ERP structure, and documentation systems as we transition into a more structured manufacturing environment.

Long-term, this role is intended to become a key operational support position within the company.
