Financial Operations Manager

Position Summary
We are seeking a highly organized, strategic, and detail-oriented Financial Operations Manager to oversee the financial infrastructure, operational systems, and administrative coordination across multiple companies within our digital conglomerate. This role will manage bookkeeping, accounting operations, financial reporting, budgeting, operational workflows, executive support, and systems management while helping leadership maintain organization, scalability, and profitability across all entities.
The ideal candidate understands multi-entity business structures, thrives in fast-paced entrepreneurial environments, and can build systems that support both financial excellence and operational efficiency.
Key Responsibilities
Financial Management & Accounting
Oversee day-to-day financial operations for multiple business entities
Manage bookkeeping, reconciliations, accounts payable, and accounts receivable
Maintain accurate financial records and operational reporting
Prepare monthly, quarterly, and annual financial reports
Monitor cash flow, budgets, expenses, and revenue performance
Coordinate with CPAs, tax professionals, payroll providers, and auditors
Ensure compliance with accounting standards and tax requirements
Develop financial dashboards and executive reporting summaries
Operations Management
Oversee operational workflows across all brands and entities
Help organize company systems, structures, and internal processes
Create and maintain standard operating procedures (SOPs)
Track project timelines, deliverables, and team accountability
Improve operational efficiency through organization and automation
Coordinate communication between departments and leadership teams
Executive & Administrative Support
Support executive leadership with scheduling, reporting, and organization
Prepare meeting summaries, presentations, and strategic reports
Coordinate calendars, travel arrangements, and executive priorities
Maintain confidentiality of company financial and operational information
Assist leadership with strategic planning and implementation
Vendor, Contract & Systems Management
Manage vendor relationships, subscriptions, invoices, and renewals
Organize contracts and operational documentation
Assist with payroll coordination and contractor management
Implement and optimize systems and workflow automation tools
Maintain operational platforms and business management software
Human Resources & Team Coordination
Assist with onboarding and offboarding tea
Coordinate hiring schedules and interview processes
Maintain employee and contractor operational records
Support internal accountability and communication systems
Help manage internal operational culture and team organization
Business Development Support
Support client onboarding and operational setup
Maintain CRM systems and follow-up processes
Assist with proposals, partnerships, and operational reporting
Help leadership track business growth initiatives and opportunities
Qualifications
Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
3–7+ years of experience in financial operations, accounting, bookkeeping, or business operations management
Experience managing operations across multiple companies or brands
Strong understanding of financial reporting, budgeting, and operational systems
Proficiency with platforms such as QuickBooks, Xero, Asana, ClickUp,
Strong organizational, leadership, communication, and analytical skills
Ability to handle confidential information with integrity and professionalism
Preferred Experience
Experience supporting entrepreneurs, agencies, digital brands, media companies, consulting firms, or multi-business organizations
Familiarity with automation systems, CRM platforms, and operational scaling
Experience supporting executive leadership in high-growth environments
