JOB OVERVIEW

Trillet is looking for a senior finance operations lead who can help re-architect our finance and accounting setup from first principles.

Expected workload: roughly 20-40 hrs/week during the first 4-8 week architecture and cleanup phase, depending on backlog and fit. After the system is stable, this may settle into 10-20 hrs/week ongoing, with heavier weeks around month-end close, tax/R&D support, or reporting upgrades.

This is not a basic bookkeeping role and not a tax-only role. We need someone who can help turn the finance function into a reliable operating system for weekly CEO/CFO decisions.

The core job is to make the accounting substrate clean enough that it can support management reporting, accountant/controller review, and future BI dashboards.

You will help design and maintain the structure across:

- Xero chart of accounts and tracking categories
- bank/card reconciliation
- Stripe payouts, fees, refunds, failed payments, and subscription/payment activity
- AR visibility and overdue follow-up
- AP and bill workflow support
- month-end close
- revenue and direct-cost classification
- founder / related-party schedules
- weekly CEO/CFO reporting
- monthly accountant/controller support packs

The outcome we need is practical: every week the CEO should be able to trust what he sees on cash, AR, reconciliation status, revenue by type, direct delivery costs, gross-margin signals, Stripe/payment movement, founder balances, and open exceptions.

You should be a systems thinker with accounting depth. The right person can look at messy startup finance, identify what is structurally wrong, ask sharp questions, and design a clean go-forward operating model.

You do not need to be a CFO. You do not need to be a data engineer. But you should understand that Xero is not just for compliance. It is the foundation for management reporting and future BI.

Must have:

- strong Xero experience
- bank/card reconciliation cleanup experience
- month-end close experience
- AR/AP discipline
- chart-of-accounts or tracking-category judgment
- ability to create useful management reporting
- clear written English
- ability to document exceptions instead of forcing bad classifications

Strong bonus:

- Stripe or payment processor reconciliation
- SaaS, startup, subscription, usage-based, or ecommerce finance experience
- multi-currency experience
- customer/project/offer-level margin reporting
- AU/GST/BAS familiarity
- payroll support
- BI, spreadsheet, dashboard, or API literacy

Important boundaries:

- This role does not include payment authority.
- Major accounting structure changes need founder/accountant approval.
- Tax/compliance policy decisions stay with our AU accountant/controller.
- The finance lead prepares, reconciles, documents, recommends, and maintains the operating system.

To apply, please answer these questions directly. Generic applications will be ignored.

1. What is the most complex messy Xero or finance cleanup you have personally handled?
2. How would you think about redesigning a chart of accounts and tracking structure so it supports CEO/CFO reporting?
3. Have you reconciled Stripe, payment processors, ecommerce payouts, refunds, fees, or subscriptions? Please describe exactly what you reconciled.
4. What weekly finance dashboard would you create for a founder/CEO?
5. What would you keep inside Xero, and what would you keep in a reporting/BI layer or external schedule?
6. What AU/GST/BAS/payroll exposure do you have, if any?
7. What is your expected monthly rate in USD, and how many hours per week are you available?

Please only apply if you are comfortable with messy startup finance and can help build a cleaner system, not just process transactions.
