Interview Appointment Booker – Music School
Job Summary
We are an established music school in New York City, seeking a highly organized and enthusiastic Interview Appointment Booker to support the admissions process at our music school. This part-time, front-line role involves scheduling interviews for prospective students, serving as the first point of contact for families, and ensuring a smooth, welcoming experience.
The ideal candidate has excellent communication skills (especially over the phone), is detail-oriented, and thrives in a customer-facing environment. Experience with scheduling tools, CRM systems (Go High Level), and working in educational or artistic settings is beneficial. Familiarity with organic lead generation (through social media, community engagement, or word-of-mouth) are a strong plus.
Key Responsibilities
Interview Scheduling:
Coordinate and book interview appointments for prospective students with admissions staff or faculty, based on availability and program requirements.
Initial Contact:
Serve as the first point of contact for inquiries from prospective students and their parents regarding interview scheduling. Provide clear information, answer questions about the admissions process, and offer a warm, enthusiastic introduction to the school.
Calendar Management:
Maintain and manage the interview calendar for Admissions Officers (Sales), ensuring optimal use of staff time and avoiding scheduling conflicts.
Follow-Up Communication:
Send confirmations, reminders, and relevant preparation materials to applicants in advance of their interviews.
Data Entry:
Accurately input applicant information and appointment details into the school’s admissions system or CRM.
Collaboration:
Work closely with admissions officers, program heads, and reception staff to ensure a smooth interview experience and a professional, welcoming environment for all visitors.
Required Skills
Strong organizational and time-management abilities
Excellent verbal and written communication skills
Friendly and professional customer service approach, with an enthusiastic and engaging phone manner
Experience with scheduling tools or booking platforms (e.g., Calendly, Acuity, or CRM systems)
Familiarity with admissions processes or arts/music education is a plus
Ideal Background
Experience in phone-based appointment booking, administrative support, or admissions coordination
Understanding of music school environments or educational settings
Spanish language skills are a plus
Experience with organic lead generation (e.g., through social media engagement, community outreach, or word-of-mouth referrals) is a strong advantage
Compensation
This is a part-time position with a performance-based compensation structure:
Base Pay: $4 per hour
Commission: $15 for each prospective student who shows up at the school for a trial lesson.
Commission: $30 for each prospective student who shows up at the school. completes an interview, and subsequently enrolls in the program.
Payment Model: At the end of each month, your compensation will be calculated two ways:
Total commission earnings based on successful bookings and/or enrollments
For example, if you help 30 students enroll in a month, your commission would be $900.
