JOB OVERVIEW

Job description:

Key Responsibilities:

1. Administrative Support & Territory Coordination
Provide comprehensive administrative support to the sales team, ensuring efficient territory management and organized tracking of sales metrics.
Maintain calendars, coordinate meetings, manage communication flow, and handle appointment setting across multiple time zones.

2. Strategic Planning & Executive Support
Assist the VP of Sales & Marketing in preparing materials, presentations, and documentation for strategic planning and executive communications.
Organize and format executive reports, dashboards, and quarterly business reviews.

3. Business Planning & Reporting
Collaborate with sales leadership to develop, update, and track sales plans, pipeline progress, and territory performance.
Build and maintain detailed reports, spreadsheets, and trackers to measure progress against targets.

4. Project Management & Cross?Functional Coordination
Lead and coordinate small-to-medium internal projects related to sales operations, business planning, process optimization, and training.
Manage project timelines, deliverables, dependencies, and stakeholder follow-ups.
Ensure documentation, SOPs, and communication are consistently updated.

5. Training Program Scheduling
Coordinate and schedule training initiatives for internal team development.
Maintain training calendars, documentation, attendance tracking, and follow-ups.

6. Lead Management & Market Intelligence
Manage CRM data entry, lead lists, and assignment processes.
Conduct research to identify prospective opportunities and support market intelligence initiatives.

7. Communications Liaison
Serve as a key communication point for the sales team, VP of Operations, and President, ensuring timely and organized follow-ups.
Support cross-functional communication to help eliminate workflow bottlenecks.

8. Competitive Research & Sales Analysis
Conduct competitor and market research to support strategic sales planning.
Assist in generating sales analysis reports and interpreting trends for decision-making.

9. Event & Tradeshow Coordination
Coordinate logistics for virtual support of industry events and tradeshows.
Assist in preparing materials and maintaining alignment between the sales team and executive leadership.

Qualifications

Bachelor’s degree in any field.
At least 4 years experience working with mid to large scale corporation as an executive assistant or corporate secretary or project manager
Proven experience in project coordination or executive assistance, ideally in sales or business development.
Advanced proficiency in Excel (pivot tables, formulas, dashboards) and Salesforce (CRM, reporting, lead tracking).
Strong command of Microsoft Office (Word, PowerPoint, Excel, Outlook).
Excellent critical thinking, organization, and problem-solving skills.
Ability to perform research, data analysis, and market intelligence with accuracy.
Willing to work night shift (Eastern Time Zone support).
Reliable equipment (laptop, headset, stable internet).
Comfortable using time?tracking tools such as Time Doctor.
