Figma E-Mail Designer (Long-Term Retainer Potential)

About Us
Hi, I'm Toni from Germany. I run a small marketing agency called run.more.mails. We design and build E-Mail marketing for online stores in Germany, Austria, and Switzerland. We use Klaviyo to send the E-Mails.
I'm looking for a long-term partner — someone reliable who can design E-Mails for me whenever I need them. This starts as project-based work, but my goal is to find someone I can put on a monthly retainer within 2-3 months. I'm not looking for one-off freelancers. I'm looking for someone who wants to grow with my agency.

What You Will Do
For every project, I will give you:

Finished E-Mail text (in German — you don't need to understand it, just place it correctly)
Brand guidelines (logo, colors, fonts of the client)
Example E-Mails that show the style we want
Clear instructions for each design

You will create:

One E-Mail design in Figma per project
Mobile-friendly layout (most people read E-Mails on phones)
Clean, organized Figma file with proper layers and components
Ready-to-use assets (correct image sizes, fonts, etc.)


What This Job Is NOT

This is not full-time work at the start. Projects come as I get them.
You don't need to write any text. The text is always finished.
You don't need to know German. All communication with me is in English.
You don't need to upload to Klaviyo. I do that myself.


How We Work: Project-by-Project With Iterations
Each E-Mail is one project. Here is the workflow:

I send you a brief with the text, brand guidelines, and reference materials
You create the first design based on the brief
I review and give feedback — there can be multiple rounds of changes
You improve the design until it matches what I want
When the design is approved, payment is released

Important: I value quality. Sometimes we need several rounds of changes before the design is perfect. That is normal. I plan for it. As long as we stay within the original brief (same brand, same content, same purpose), all iterations are included in the project price. You don't need to charge me extra for revisions.
If the brief changes a lot during the project (different brand, different content), I will treat it as a new project.

Compensation
$10 - $20 USD per finished E-Mail design
We strongly want, that you work Long-Term.

All iterations are included in this price. You don't need to charge me more for revisions, as long as we stay within the original brief.
Payment after each completed and approved project, via your preferred method (PayPal, Wise, etc.).

Long-Term Plan: Retainer
If we work well together for 2-3 months, I want to move you to a monthly retainer:

Fixed monthly payment for a guaranteed number of E-Mails
Steady, predictable income for you
Priority access to my projects
Long-term partnership

This is the goal. The project-based phase at the beginning is for us to get to know each other and see if we work well together.

Working Hours / Volume

Schedule: You set your own hours. No fixed schedule.
Volume at start: Expect 5-15 E-Mail designs per month
Volume potential: Could grow to 20-30 per month as my agency grows
Response time: I expect a response within 24 hours when I send a project. The actual design time can be 1-3 days, depending on the project.


Required Skills
You must have:

Strong Figma skills — auto-layout, components, variants, organized files
E-Mail design experience — at least 5 E-Mail designs in your portfolio
Good English — clear written English for our communication
Reliable internet and computer — you can deliver files via Figma share links
Reliability — I value people who keep their word and meet deadlines
Patience for iterations — sometimes designs need multiple rounds of changes. If that frustrates you, this is not the right job.


Nice to Have

Klaviyo template experience
Experience designing for European/German brands
Knowledge of E-Commerce brands (Shopify shops especially)
Adobe Photoshop or similar for image preparation

Hiring Process
Step 1: Application review (1-2 days)
Step 2: Paid trial project — I will give you one real E-Mail design to do. This way can confirm that you are the right person.
Step 3: If the trial goes well, we start working together on regular projects.
Step 4: After 2-3 months of good collaboration, we move to a monthly retainer.
I am NOT looking for someone with the lowest price. I am looking for someone with quality, reliability, and patience. If you give your best work, I will give you regular projects — and eventually a steady monthly income.
