JOB OVERVIEW

We are looking for a highly organized, proactive, and detail-oriented Remote Operations & Executive Assistant to support daily administrative, operational, and project coordination tasks.

This role is ideal for someone with experience as an executive assistant, administrative assistant, project coordinator, or legal assistant. Legal assistant experience is a plus, but not required.

The right candidate must be reliable, organized, professional, and comfortable helping with scheduling, follow-ups, meeting notes, document updates, candidate research, and general task coordination.

Responsibilities

The assistant will help with tasks such as:

Schedule meetings, coordinate calendars, and confirm availability.
Join or stay copied on email threads to help track follow-ups.
Send professional follow-up emails after meetings.
Take meeting notes and organize action items.
Update internal documents, SOPs, reports, spreadsheets, and trackers.
Help organize project-related information across Google Drive, Google Docs, and Google Sheets.
Research and shortlist candidates when hiring support is needed.
Help with candidate communication, scheduling interviews, and tracking applicant status.
Support project management tasks by updating boards, tasks, deadlines, and status notes.
Assist with basic client or internal communication when needed.
Keep files, folders, and documentation organized.
Follow up on pending items to make sure nothing falls through the cracks.
Support day-to-day administrative tasks assigned by management.
Required Skills
Strong English communication skills, both written and spoken.
Excellent organization and attention to detail.
Experience as a virtual assistant, executive assistant, admin assistant, legal assistant, or project coordinator.
Ability to manage multiple tasks and follow deadlines.
Comfortable with email communication and calendar management.
Strong note-taking and documentation skills.
Able to work independently with minimal supervision.
Reliable, responsive, and proactive.
Comfortable asking questions when instructions are unclear.
Able to maintain confidentiality and handle sensitive information professionally.
Tools Experience

Experience with the following tools is preferred:

Google Workspace: Gmail, Google Calendar, Google Docs, Google Sheets, Google Drive
Project management tools such as ---------- , Asana, ClickUp, Trello, or similar
CRM platforms or task management systems
Zoom or Google Meet
Basic spreadsheet tracking
ChatGPT or AI tools for productivity is a plus
Nice to Have

The following experience is a plus, but not required:

Legal assistant experience
Experience supporting marketing agencies
Experience with recruitment or candidate screening
Experience preparing meeting recaps or client follow-up emails
Experience organizing SOPs or internal documentation
Experience working with executives, project managers, or operations teams
