The Role
This is an exciting opportunity for an organised, proactive, and tech-savvy Operations Executive to join Pubity Group’s Studio team.
You will be the operational backbone of the Studio - keeping our resourcing, systems, and processes running smoothly so that the wider team can focus on delivering world-class creative work.
You will sit at the intersection of project management, data, and AI, playing a central role in maintaining our creative resourcing infrastructure, tracking and analysing Studio work output, and helping to build AI-powered solutions that make the team more efficient and effective. You will also be a key point of administrative support for the Studio leadership.

Key Responsibilities
Creative Resourcing
• Own and maintain the Studio’s creative resourcing board on
• Proactively flag capacity conflicts or gaps to Studio leadership, suggesting solutions to keep projects on track.
• Coordinate with Creative leads to plan resource allocation across live and upcoming campaigns.
• Produce regular resourcing reports and summaries to support team planning and decision-making.
Work Output Analysis
• Own and maintain the Studio’s work output tracker, logging all brief responses, proposals, and pitches alongside their current status and outcomes.
• Track and report on key Studio performance metrics including brief response rates, pitch conversion rates, campaign engagement rates, and turnaround times — presenting findings in clear, actionable formats for leadership.
• Collaborate with Studio leads and commercial teams to ensure output data is consistently captured, enabling accurate reporting on team productivity and client win rates.
• Identify patterns and trends in Studio output data, surfacing insights that inform resourcing decisions, process improvements, and strategic planning.
AI Solutions & Innovation
• Support the development and rollout of AI-powered tools and workflows across the Studio team, working with internal stakeholders to identify high-impact automation opportunities.
• Help build and maintain prompt libraries, AI workflow documentation, and best practice guides for tools such as Claude, ChatGPT, and Canva AI.
• Act as a first point of contact for tea
support.
• Stay current with developments in AI tooling relevant to creative and commercial operations, bringing
new ideas and recommendations to the team.
Administrative & Operational Support
• Provide day-to-day administrative support to Studio leadership, including diary management, meeting preparation, and follow-up coordination.
• Maintain internal documentation and team knowledge bases (Notion,
current, accessible, and well-organised.
• Assist in the coordination of team offsites, client events, and internal initiatives - including logistics, briefing docs, and post-event follow-ups.
• Manage ad hoc operational tasks as they arise, acting as a reliable and flexible point of support across
the team.
Process & Team Efficiency
• Identify and document operational bottlenecks across Studio workflows, proposing and implementing practical improvements.
• Support the onboarding of new tea
• Contribute to the development of Studio playbooks and standard operating procedures that help the team scale efficiently.
Essential Skills & Experience
• 5+ years’ experience in an operations, project management, or executive support role - ideally within a media, creative agency, or fast-growth technology environment.
• Fluent in English with excellent written and verbal communication skills; able to communicate clearly and professionally at all levels.
• Exceptional project management skills with strong attention to detail and the ability to juggle multiple
workstreams simultaneously.
• Proven experience working in fast-paced, dynamic environments where priorities can shift quickly.
• Experience tracking and analysing work output or performance data, with comfort building and maintaining structured trackers, dashboards, or reports.
• Proficiency in
• Genuine interest in AI tools and a track record of using them practically (e.g. ChatGPT, Claude, Canva AI, or similar).
• A proactive, self-starting attitude - you spot problems before they happen and take ownership of finding solutions.
• Strong interpersonal skills and a collaborative working style; you build relationships easily and work well
across teams.
• Ability to work UK or US time zones
Desired Skills & Attributes
• Experience in social media, digital publishing, or creative production environments.
• Familiarity with basic data visualisation or reporting tools (e.g. Looker Studio, Excel/Google Sheets
dashboards).
• Experience building or maintaining prompt libraries or internal AI documentation.
• An understanding of commercial operations and how client-facing teams work.
• Degree in Business, Operations, Communications, or equivalent professional experience.
