Job Title: Legal Intake Specialist (Case Closer) for U.S. Family Law Firm - Remote

We are a busy U.S.-based family law firm seeking a Client Intake Specialist to be the first point of contact for prospective clients. You will answer incoming calls, run a brief intake conversation, and book qualified callers for consultations with our attorneys. This is a phone-focused role that is part client service and part sales. People call us during a stressful time in their lives, and your job is to make them feel heard while moving them toward booking a consult.
About This Role
This is the front door of the firm. You are not taking messages or transferring calls. You own the conversation from hello to booked consultation, and you follow up with anyone who does not schedule on the first call. The firm's growth depends on how well this role converts inquiries into consultations.
What You'll Do

Answer all incoming calls promptly and professionally as the first voice of the firm
Run initial intake conversations, gathering case details with empathy and discretion
Convince qualified callers to book a consultation with our attorneys
Follow up by phone and email with leads who have not yet scheduled
Log all calls, client details, and notes accurately in the firm's CRM
Manage the consultation calendar and coordinate scheduling between clients and attorneys
Respond to email inquiries promptly and professionally
Handle all client information with strict confidentiality

Requirements (Mandatory, No Exceptions)

Clear American accent and strong spoken English. Your spoken English will be tested before hire
Sales, appointment-setting, or phone conversion experience in a role where you were responsible for moving people toward a decision
Near-native written English for email follow-up. Your writing will be tested before hire
Strong active listening and the ability to build rapport quickly over the phone
Calm, professional phone presence, especially with distressed or emotional callers
Comfortable working in a CRM and with general computer tools
Able to commit to a consistent full-time schedule with the required U.S. hours overlap
Seeking a long-term role, not short-term or freelance gap work
Able to complete a paid test project as part of the hiring process

Strongly Preferred

Prior experience with a U.S. law firm, medical office, or other professional services environment
Familiarity with legal intake or family law specifically
Experience with legal practice management or intake software such as MyCase, Lawmatics, or Clio
Bilingual (English/Spanish)

Technical Requirements

At least 8GB of RAM
Reliable high-speed internet (at least 100mbps) with a backup connection
A quiet, professional home office with no background noise
A good quality noise-canceling headset
A backup power solution to stay online throughout outages
