About the Brand

The brand is a conceptual homewares and design brand based in Sydney, Australia. We sit at the intersection of art and design, each product is considered, crafted, and intentional. Our range includes hand-finished candles, knitted throws, deadstock fabric cushions, scented matches, and porcelain charms. We sell direct to consumer via Shopify, through boutique wholesale stockists, and to trade clients including hotels and interior designers.

We are a small, founder-led brand with a strong aesthetic and a growing presence. You'll be working directly with the founder.

About the role

We're looking for a reliable, detail-oriented Virtual Assistant to handle the execution side of the business so the founder can focus on design and creative direction.

This is an execution role- not a creative role. Copy, strategy, and creative direction will always be provided to you. Your job is to take that work and make it happen: upload it, schedule it, send it, track it.

This role will start at 10 hours per week with the potential to grow.

What you'll be doing

Social media (biggest time commitment)

- Scheduling and posting content to Instagram and Pinterest from assets and captions provided by the founder
- Monitoring comments and DMs and flagging anything that needs a founder response
- Basic community management
- Keeping a simple content calendar up to date in Notion


Email
marketing- Klaviyo

- Formatting and sending EDMs in Klaviyo from copy provided by the founder
- Managing our subscriber list — tagging, segmenting, keeping it clean
- Setting up basic automated flows- ad hoc (welcome email, abandoned cart, post-purchase) from briefs provided

Website updates-Shopify

- Uploading new products from a brief- copy, imagery, pricing, variants
- Updating homepage banners and coming soon pages
- Other basic Shopify admin

Wholesale and trade outreach

- Researching potential boutique stockists, hotels, and interior designers from a brief
- Sending outreach emails from templates provided by the founder
- Tracking responses and following up
- Keeping the outreach tracker in Notion up to date
- Drafting personalised outreach emails for trade contacts (hotels, interior designers) from a template and brief provided

PR and press admin

- Coordinating product send-outs to press contacts
- Following up with journalists and stylists
- Tracking coverage and clippings

General admin

- Keeping Notion workspace organised and up to date
- Logging expenses when provided
- Booking couriers or coordinating deliveries when needed
- Any other admin tasks as they arise

What we're looking for

**Must have:**

- Excellent written English — you'll be communicating with press, stockists, and customers on our behalf
- Experience with Shopify — you must be comfortable uploading products and doing basic admin
- Experience scheduling social media — Instagram especially
- Strong attention to detail — Cillie is a premium brand and everything must be accurate and on-brand
- Reliable internet connection and availability during Australian business hours (at least partially)
- Proactive communicator — you flag problems before they become issues

**Nice to have:**

- Experience with a lifestyle, homewares, or design brand
- Experience with Notion
- Experience with Klaviyo
- Basic Canva or Adobe skills for simple asset editing
- Experience with wholesale or trade outreach
- Experience managing Meta ads — budget management, pausing underperformers, duplicating ad sets, and pulling weekly performance reports. Strategy and creative always provided by the founder. Please include in your application one example of a Meta ad campaign you managed and what result it achieved.
- There may also be opportunities to support additional creative projects as the role grows.

- Someone who will apply creative judgement without being asked — all creative decisions stay with the founder
- Someone who cannot meet deadlines

- All briefs and copy provided via Notion
- Weekly check-in via Google Meet or Call
- Communication via email, Notion, or Whatsapp
- You will be trusted to manage your own time within the 10 hours
- Clear, honest communication is everything, if something is unclear, ask

- Research and compile a interior designers as trade outreach targets
