Remote - UK Working Hours
We are seeking a highly organised, intelligent, and proactive Executive Personal Assistant / Operations Assistant to support two company directors across multiple businesses and assist with selected personal and family administration.
This is a long-term remote role for someone who is professional, detail-oriented, commercially aware, tech-savvy, and capable of managing a fast-paced and varied workload.
The successful candidate will play an important role in the day-to-day running of the businesses by managing administrative operations, coordinating schedules, handling communications, organising information, and ensuring tasks are completed efficiently.
All tasks and workflows will be managed through a shared online task management portal accessible to the wider team.
Key Responsibilities
* Managing the directors’ calendars, schedules, and appointments
* Coordinating meetings and travel arrangements
* Managing and prioritising
* Drafting professional business
* Preparing spreadsheets, trackers, reports, and summaries
* Organising documents and maintaining administrative systems
* Sending invoices and payment requests to the accounts team
* Ensuring accounts department is completing their task
* Tracking bills, payment requests, and outstanding administrative items
* Managing general ad hoc administrative and operational tasks
* Assisting with family and children’s diary/calendar coordination where required
* Following up outstanding tasks with consultants, suppliers, and tea
* Updating and managing shared task management systems
* Supporting the directors with general day-to-day organisation and operational assistance
* Using AI tools and modern software platforms to improve efficiency and productivity
Requirements
* Fluent spoken and written English is essential
* Excellent communication and professional writing skills
* Strong business understanding and commercial awareness
* Comfortable using AI tools such as ChatGPT and other productivity software
* Highly organised with strong attention to detail
* Fast learner with the ability to adapt quickly
* Confident using spreadsheets, online systems, and digital tools
* Ability to multitask and prioritise effectively
* Professional, reliable, trustworthy, and proactive mindset
* Able to work independently and remotely
* Master’s degree required
* Previous experience as an Executive Assistant, PA, Operations Assistant, or Virtual Assistant preferred
Preferred Skills
* Experience supporting directors, founders, or senior management
* Familiarity with task management platforms such as Notion, ClickUp, Asana, or Trello
* Experience coordinating business operations remotely
* Property, construction, finance, or business administration experience is advantageous

* Monday to Friday
* Remote position
* Must work within UK/London business hours
* Typical working hours approximately:
* 8:00am – 4:00pm UK time
* This role is well suited to candidates based in the Philippines or similar time zones comfortable working evening hours
