Hours: Full-time, Monday–Friday. Must overlap with Korea Standard Time (KST/GMT+9) business hours.
About Inquivix
Inquivix is a Seoul-based digital marketing agency. We help international companies enter the Korean market through Naver SEO, Kakao advertising, paid media, social media, and web development.
We are a small, fully remote team. Internal operations need to run smoothly so our project teams can focus on client delivery. This role exists to make that happen.
The Role
- You will support our Executive Director with internal operations — HR administration, invoice and financial tracking, document management, and general coordination. This is an internal-facing role. You will not interact with clients.
- You are the person who makes sure records are organized, invoices are prepared on time, new hires are onboarded properly, and nothing falls through the cracks.
What you will do:
HR & Onboarding Admin (approximately 40% of role):
- Track new hire documentation — contracts, tool access, onboarding checklists
- Monitor probation timelines and flag upcoming review dates
- Maintain team records (contact info, start dates, role assignments, compensation records)
- Coordinate onboarding logistics for new tea
Invoice & Financial Admin (approximately 30% of role):
- Prepare monthly client invoices from templates
- Track invoice status — sent, received, paid, overdue
- Flag overdue invoices for escalation (you flag — you do not chase clients)
- Organize monthly payroll data for review before accountant submission
- Maintain the invoice calendar
General Operations (approximately 30% of role):
- Maintain shared drive organization and file hygiene
- Track tool subscriptions and renewal dates
- Support internal documentation updates
- Schedule coordination
- Ad hoc admin support as needed
Requirements:
- 1+ years of experience in administrative, operations, or HR coordination work
- Strong organizational skills — you track details reliably and nothing slips
- Comfortable with spreadsheets — you will work with Excel/Google Sheets daily for invoice tracking, payroll data organization, and record-keeping
- Strong written English for internal communication
- Comfortable learning new tools quickly — we use Google Workspace, NiftyPM,
- Honest and precise. If you are unsure about something, you ask rather than guess.
Strong advantage (not required):
- Experience with invoice preparation or basic financial administration
- Experience with payroll data organization (not processing — organizing data for accountant review)
- Experience with HR onboarding administration
- Experience working in a remote team across multiple time zones
This role is NOT a good fit if you:
- Want a marketing or client-facing role — this is purely internal operations
- Are disorganized or rely on memory instead of systems
- Are uncomfortable asking questions when instructions are unclear
- Need significant supervision to complete routine tasks
