JOB OVERVIEW

We are seeking expressions of interest for Setups Specialist position.
Do you have a sharp eye for detail and a knack for getting complex setups right the first time?
MachShip is Australia's leading freight management platform, trusted by carriers, 3PLs, and shippers to move freight smarter every day. We're looking for a Setups Specialist to join our Cremorne-based team — someone who takes pride in precision, communicates clearly with customers, and plays a critical role in getting new accounts live and ready to go.
ABOUT THE ROLE
Reporting to the Setups Team Leader, the Setups Specialist is the engine behind every new customer going live on the MachShip platform. You'll configure accounts from end to end — from carrier assignments and rate cards through to quoting rules, manifesting settings, and custom workflows — making sure every setup is accurate, tested, and handed over without a hitch. You'll work closely with customers throughout the process and collaborate internally with Onboarding, Dev, Carrier Integrations, and Support teams to keep things moving smoothly.
WHAT YOU'LL DO
Customer Setup & Configuration
– Configure new customer environments in MachShip, including account structures, user access, carrier assignments, and operational preferences
– Set up rates, carriers, quoting rules, manifesting settings, and custom workflows tailored to each customer's requirements
– Validate data accuracy across carrier accounts, rate cards, surcharges, and integration fields
– Perform end-to-end testing to confirm complete setup integrity before customer launch
Customer Engagement
– Liaise with customers via the helpdesk to gather setup requirements, clarify data inputs, and guide them through the process
– Communicate clearly on setup progress, outstanding items, and timelines — keeping customers informed at every stage
– Educate customers on their system configuration outcomes and best-practice usage
Technical Administration & Data Handling
– Import, map, and validate rate cards, carrier settings, and configuration data
– Troubleshoot setup issues, identify configuration inconsistencies, and escalate technical problems when needed
– Maintain accurate, complete setup documentation throughout each engagement
Collaboration & Cross-Team Support
– Work alongside Onboarding, Dev, Carrier Integrations, and Support teams to ensure efficient handover and prompt issue resolution
– Provide practical feedback on setup processes, tools, and documentation to support continuous improvement
– Assist in refining setup templates, standard configurations, and process guides
Quality Assurance
– Conduct setup accuracy reviews prior to every handover
– Ensure all work complies with internal standards, carrier requirements, and operational best practices
– Identify and address recurring setup issues to reduce defects and rework
WHAT WE'RE LOOKING FOR
Skills & Attributes
– Strong attention to detail and high accuracy in data entry and configuration
– Clear communicator — able to explain technical concepts in plain language for non-technical customers
– Comfortable analysing and validating data: CSV files, spreadsheets, rate structures
– Solid problem-solving skills with a logical, methodical approach
– Ability to manage multiple setup tasks concurrently and prioritise effectively
– Collaborative team player who thrives in a structured, process-driven environment
– Previous experience in a customer-facing or client-service role
Bonus Points For
– Experience in customer onboarding, system setup, or technical administration
– Exposure to logistics, freight management systems, or supply chain operations (TMS/WMS)
