About Us
We're Healthcare Business Academy (HBA) — a coaching company helping physical therapists and chiropractors build cash-based practices. We run multiple personal brands and company channels across Instagram and YouTube (Dr. Odell, Dr. Abby Sirovica, and HBA).
We already have a video editor producing content. We need someone whose only job is making sure that content actually goes out — on time, on brand, every single day, across every account.
This is a long-term seat on a fast-moving team. Not a one-off gig.
The Core Job
You are the person who makes sure we never miss a post or a story.
If we say "3 Reels and 5 stories per day," then 3 Reels and 5 stories go out per day. No excuses, no missed days, no "we forgot." That's the job.
Everything else supports that.
What You'll Own
Scheduling & Posting (Primary)
- Schedule and publish daily Reels, Feed posts, and Stories across multiple Instagram accounts
- Schedule and publish YouTube Shorts across multiple channels
- Hit our daily post and story quotas every single day, including weekends when needed
- Use scheduling tools (Later, Buffer, Metricool, or similar) to keep everything organized weeks in advance
- Maintain a clear, color-coded content calendar so the whole team can see what's going live and when
Content Calendar Management
- Build out the weekly and monthly content calendar
- Coordinate with the video editor to make sure content is ready before scheduling deadlines
- Flag gaps early — if we're going to run out of content for Wednesday, you raise it on Monday
- Track which pieces have been posted on which accounts so nothing gets a
Captions, Hooks & CTAs
- Write captions, hooks, and CTAs that match each brand's voice
- Add hashtags, tags, and location tags
- Optimize titles, descriptions, and tags for YouTube Shorts
Stories (Daily)
- Pull story content from existing posts, behind-the-scenes clips, polls, Q&As
- Keep stories live every day so accounts never go dark
- Use stickers, polls, questions, and link stickers strategically
Community Management
- Reply to comments and DMs in brand voice within 24 hours
- Flag important DMs (leads, partnership requests, press) to the right tea
Analytics & Reporting
- Pull weekly performance reports (reach, watch time, saves, follows, story views)
- Flag what's working and what's not
- Suggest adjustments to the calendar based on what the data shows
Light Editing (Backup Only)
- Make light edits when needed — trim a clip, swap a caption, adjust a thumbnail
- Heavy editing is handled by our video editor. You won't be doing full production.
Required Skills
- Extreme reliability. This is the #1 requirement. If you've ever missed a deadline because "something came up," this role isn't for you.
- Hands-on experience with scheduling tools (Later, Buffer, Metricool, Hootsuite, or similar)
- Working knowledge of Instagram and YouTube — you actually use these platforms daily and understand what works
- Strong English copywriting for captions, hooks, and CTAs
- Calendar discipline. You can manage 4+ accounts without losing track of what's going where
- Basic Canva or graphic design for story templates, covers, and quick visuals
- Light video editing (CapCut or similar) for small adjustments and trims
- Communication. You give updates proactively over Slack. You don't ghost.
Soft Skills (Equally Important)
- Obsessive about details. A typo in a caption, wrong tag, or missed post is a big deal to you.
- Self-starter. You don't need to be told to post — you already know the schedule.
- Calm under pressure. When something breaks, you fix it without panic.
- You communicate when you'll be offline so we're not guessing.
- You're genuinely interested in healthcare, entrepreneurship, and personal brands.
Nice-to-Haves (Not Required)
- Hashtag and SEO research experience
- Familiarity with Notion, Airtable, Slack, GoHighLevel
- Basic photography or thumbnail design skills
- Trend research instincts — knowing what audio or format is hot this week
- Past experience managing multiple accounts at once
The Details
Hours: Full-time, ~40 hours/week
Schedule: Some overlap with US Eastern Time required. Some weekend posting expected (we don't go dark on weekends).
Pay: Competitive, based on experience. Tell us your monthly rate in your application.
Type: Long-term role. We're hiring someone we plan to grow with for years.
Tools provided: All software, scheduling tools, and account access
Growth: Real upside as the brands scale — performance bonuses and rate increases for the right person
