Purpose of the Role
The purpose of this role is to provide comprehensive administrative and operational support to the CorePoint Industries leadership team from a virtual environment. This position ensures daily business activities run smoothly by managing schedules, documentation, and cross-border communications between the Philippines and Houston headquarters.
Scope of the Role
This role serves as a central point of coordination for the Houston-based office, handling high-priority administrative tasks. The Virtual Administrative Assistant works independently under the guidance of the leadership team to maintain organized systems and facilitate efficient project workflows.
Operational Requirement (Strict Compliance)
? Work Schedule: This is a full-time virtual position operating strictly on 9:00 AM – 5:00
PM Central Time (Houston, TX).
? Time Zone Alignment: Applicants must be willing and able to work during the Philippine
"graveyard" shift to maintain a 1:1 real-time overlap with Houston headquarters.
Key Responsibilities
1. Executive & Project Support
? Manage calendars, schedule meetings, and coordinate across various time zones.
? Assist in the preparation of internal reports, presentations, and project deliverables.
? Follow established company procedures and documentation standards.
2. Document Control & Data Management
? Prepare and update essential business documents and data sheets.
? Maintain highly organized digital project files and version histories.
? Review all outgoing documentation for accuracy, formatting, and completeness.
3. Communication & Coordination
? Act as a point of contact for vendor inquiries and basic information gathering.? Liaise with multidisciplinary teams to ensure feedback is incorporated into workflows.
? Draft and manage professional correspondence in English.
4. Project & Recruitment Coordination
? Support recruitment efforts by organizing applicant data, tracking candidate progress, and
scheduling interviews.
? Liaise with vendors and third-party service providers to gather information or process
basic requests.
? Coordinate with multidisciplinary teams to ensure administrative tasks align with project
deadlines.
Qualifications
Education
? Bachelor’s degree in Business Administration, Communications, or a related field.
Experience
? 2–4 years of experience in a virtual assistant or administrative role, preferably supporting
US-based firms.
Technical Skills
? Proficiency in Microsoft Office 365 (Teams, Excel, Word) and Google Workspace.
? Familiarity with project management tools and document control systems.
Core Skills & Competencies
? Exceptional written and verbal communication skills in English.
? Strong attention to detail and a high degree of organizational skill.
? Ability to manage multiple tasks simultaneously and meet strict deadlines.
? Proactive approach to problem-solving and a willingness to learn new software.
