Maid My Day is a leading provider of Domestic Assistance services within the Australian Aged Care sector. We support elderly Australians to live safely and independently in their own homes, while also creating meaningful employment for our field workforce.


- About the Role -
You will be the bridge between strategy, execution, and intelligent automation.
As our AI & Process Automation Lead, you will take high-level operational ideas and turn them into clear, structured, and scalable systems—while identifying opportunities to replace manual work with automation, AI tools, and emerging technologies.

You will work closely with the Head of Operations and our Systems Engineer to design workflows, implement projects, and ensure our teams are fully trained and aligned.

This is a highly hands-on role for someone who thrives in building order, structure, and efficiency—and is naturally curious about how AI and technology can transform the way work is done.


- What You’ll Be Responsible For -
Process Design & Improvement
* Map and document end-to-end workflows (Recruitment, Cleaner Management, Cleaner Journey, Customer Service, Scheduling, Finance)
* Identify inefficiencies and areas for optimization
* Redesign processes with automation and scalability in mind
* Standardize processes across teams

AI & Automation Implementation
* Identify manual, repetitive tasks and replace them with automation or AI solutions
* Design and implement AI-assisted workflows (e.g., data entry, reporting, task triggers)
* Explore and recommend tools (including AI agents, integrations, and automation platforms)
* Work with emerging technologies (e.g., AI copilots like Claude or similar tools) to improve efficiency

Project Implementation
* Take ownership of operational and automation projects from planning to rollout
* Break down projects into actionable steps and timelines
* Ensure deadlines and milestones are met

Systems & Tools Organization
* Organize and maintain:
* Google Drive / SharePoint
* Knowledge base
* CRM structure (HubSpot)
* Recommend and implement better systems, tools, and structures
* Ensure systems are scalable and easy for teams to use

Documentation & Knowledge Base
* Create SOPs, process maps, and training materials
* Ensure documentation is clear, updated, and easy to follow
* Translate complex systems into simple, usable guides

Training & Team Enablement
* Train internal teams on new processes, systems, and tools
* Support rollout and ensure adoption
* Help teams transition from manual work to automated workflows
* Gather feedback and continuously improve

Systems Support
* Assist in planning workflows and automation logic
* Conduct testing and QA
* Work alongside Systems Engineer for implementation

- What We’re Looking For -
Must-Have:
Strong experience in process building and documentation
Highly organized and detail-oriented
Experience creating SOPs and workflows
Experience training teams or onboarding staff
Strong curiosity for AI, automation, and emerging tools
Ability to identify and reduce manual work through systems or technology
Experience with AI tools (e.g., Claude, ChatGPT, automation platforms)
No other side hustle or commitment

Nice-to-Have
Experience building or working with AI-assisted workflows or agents
Experience with CRM systems (HubSpot is a plus)
Project management experience
Background in operations or service-based businesses
