Operations & Profitability Coordinator

We are looking for a highly organized, analytical, and detail-oriented Operations & Profitability Coordinator to help monitor labor efficiency, route profitability, production tracking, and operational performance.
This is NOT a basic admin role.
This role is focused on helping protect company profit, improve route efficiency, track labor performance, and ensure operational accountability across the business.
Position Summary:
The Operations & Profitability Coordinator will work directly with ownership to monitor production metrics, labor tracking, routing efficiency, job costing, and operational KPIs using Service Autopilot, spreadsheets, and reporting systems.
The ideal candidate is highly analytical, proactive, detail-focused, and comfortable holding systems accountable through data and reporting.
Responsibilities:
Daily Responsibilities
Verify all crews properly clock in and clock out
Monitor completed jobs and production status
Track daily man-hour production rates
Review route efficiency and identify wasted drive time
Identify missed jobs, skipped services, or scheduling issues
Monitor labor hours versus budgeted hours
Track callbacks, customer complaints, and operational issues
Ensure job notes and photos are properly documented
Communicate operational issues to management quickly
Weekly Responsibilities
Create labor efficiency reports
Track sold hours versus actual hours
Review route density and route profitability
Identify underperforming routes or clients
Create production scorecards for crews
Track estimate follow-up activity and close rates
Review open estimates and pending work
Monitor schedule gaps and route optimization opportunities
Identify opportunities to improve efficiency and profit
Monthly Responsibilities
Review Cost of Goods Sold (COGS)
Review expense ratios and operational spending
Assist with Profit & Loss tracking
Analyze unprofitable clients and recommend adjustments
Assist with pricing analysis and profitability reviews
Track key business KPIs and trends
Prepare operational summary reports for leadership
