Pre-Listing
Confirm ownership and research property details (zoning, lot size, land use, tax records)
Prepare CMA and assemble listing presentation materials
Send pre-listing package to prospect
Update prospect status in Follow Up Boss and Lofty
Coordinate photography, virtual tour, staging, signage, and lockbox scheduling
Complete seller disclosures and organize listing documents for TK's review and signature
Order preliminary title report
Post-Listing (Going Live)
Enter listing into MLS with accurate details, photos, and description
Syndicate to Zillow, ---------- , Trulia, and all relevant platforms
Move client from prospect to active in Follow Up Boss and Lofty
Create listing flyer and digital marketing assets in Canva
Post listing on social media (Instagram, Facebook) with property highlights
Add virtual tour to MLS, website, and YouTube
Set up showing feedback system (Showingtime or equivalent)
Schedule open houses as directed by TK
Send announcement email to top local agents
Send seller weekly showing feedback and market activity reports (Day 7 and Day 21)
Property Searches & Buyer Support
Set up and manage property search alerts for buyer clients in MLS
Monitor and update searches based on buyer feedback and changing criteria
Send new matching listings to buyers promptly with a personal note
Log all buyer activity and communication in Follow Up Boss and Lofty
Send welcome/congratulations communications to new buyer clients
CRM — Follow Up Boss & Lofty
Enter all new leads, clients, and contacts into Follow Up Boss and Lofty same day
Maintain accurate notes on every contact — conversations, preferences, follow-up needed
Set up automated drip campaigns and action plans for leads and active clients
Monitor and action all Follow Up Boss tasks and reminders daily
Tag and segment contacts appropriately (buyer, seller, past client, lead, SOI, etc.)
Flag any unresponsive or stale leads for TK's review
Enter anniversary dates, birthdays, and follow-up triggers
Schedule 30, 90, and 120-day post-close check-in calls to past clients to drive referrals
Day-to-Day Communications & Admin
Monitor and respond to TK's business email inbox — same-day replies are the standard
Screen and route incoming inquiries to TK or handle directly as appropriate
Manage TK's calendar and appointment scheduling
Prepare outgoing correspondence, thank-you notes, and client communications
Send market updates and relevant content to homeowners in TK's database
Conduct FSBO research and send targeted outreach on TK's behalf
Request client reviews and testimonials after key milestones
Marketing & Social Media
Create and schedule social media content for Instagram and Facebook (3–5 posts/week)
Update TK's website with new listings, sold properties, and testimonials
Prepare email marketing campaigns and newsletters
Design flyers, mailers, and digital graphics using Canva
Track and report on social media engagement and website activity
Required Qualifications
Experience as a VA, executive assistant, listing coordinator, or real estate admin
Excellent written and verbal communication — fast, warm, and professional
Hands-on experience with Follow Up Boss and/or Lofty (required)
Experience with MLS data entry and listing syndication
Proficient in Google Workspace (Gmail, Docs, Sheets, Drive, Calendar)
Canva or equivalent design tool experience
Self-directed with the ability to manage multiple priorities independently
Preferred Qualifications
Familiarity with 30A, Santa Rosa Beach, Destin, or the Florida Panhandle market
Experience with Showingtime, Dotloop, DocuSign, or similar platforms
Social media content creation — Instagram Reels, Facebook, short-form video.

This job is part time to go into full time quickly if we are a good fit.
