Event Coordinator (Remote - Australian Market)

Adept Photo Booths is an Australian company specialising in photo and video experiences for events, brand activations, and fan engagement.
Our mission is to connect people, brands and experiences.
Since launching in 2016, we now deliver over 600 events each year across Australia, working with leading brands in sport, corporate events, and entertainment.
We are growing and looking for a highly organised Event Coordinator to support event delivery and keep everything running smoothly behind the scenes.
About the Role:
This role is responsible for coordinating all event information and administration from the point of sale through to event delivery and post-event completion.
Reporting to the Event Manager, the role will work closely with our internal team, casual event staff, venues, suppliers, event partners and clients to ensure every event is properly planned, documented, and executed to the highest standard.
This is a detail-heavy role where accuracy, communication, and organisation are critical.
Compensation:
Base Salary: ?40,000 per month.
Performance Bonus: Up to ?20,000 per month based on:
- Event accuracy and readiness
- Speed of processing and client communication
- CRM and administrative quality
- Delivering Communications Plan (Social Media and Newsletters)
- Team and client feedback
Total Potential Earnings: Up to ?60,000 per month.
Salary will be aligned to experience, communication ability, and proven ability to manage multiple events with accuracy.
Key Responsibilities:
- Gather and confirm all event details with clients
- Prepare run sheets and internal job briefs
- Coordinate staff, equipment, and logistics
- Ensure events are fully ready at least 48 hours in advance
- Communicate with clients via
- Keep CRM and systems fully updated at all times
- Support internal event delivery with clear and accurate information
- Complete post-event tasks (file delivery, galleries, job closure)
- Identify and resolve issues before they impact delivery
- Schedule and post Social Media and Newsletters
Key Performance Indicators (KPIs):
- All event details accurate with zero critical errors
- All bookings processed within 24 hours
- All events fully prepared 48 hours prior
- Same-day response to client communication
- Clear and accurate job briefs provided for every event
- Post-event tasks completed within 24 hours
- CRM always up to date
Requirements:
- Experience in event coordination, admin, or project coordination
- Excellent written and spoken English (must meet Australian standards)
- Confident answering phone enquiries
- Strong attention to detail and organisation
- Ability to manage multiple tasks and deadlines
- Experience with CRM (e.g. Go High Level) systems and Google Workspace
- Reliable internet and professional work setup
- Available during Australian business hours
Nice to Have:
- Experience in events, marketing, or creative industries
- Experience working with Australian clients
- Interest in events, brand activations, or creative work
- Photography and strong technical knowledge.
