Position Overview
Little Minders is seeking a highly organized, emotionally intelligent, warm, and proactive Backup Care & Concierge Coordinator to support our growing family membership platform and sitter network.
This role is responsible for helping maintain the quality, reliability, responsiveness, and overall experience of Little Minders by overseeing sitter onboarding, sitter support, backup care coordination, concierge requests, and family communication.
We are looking for someone who understands the importance of trust, professionalism, communication, emotional intelligence, and responsiveness within childcare and family support services.
This is a fast-paced, people-centered role that requires strong judgment, organization, and the ability to build positive relationships with both families and caregivers.
Responsibilities
Sitter Recruitment & Vetting
Conduct virtual sitter interviews
Perform detailed phone reference checks
Evaluate sitter professionalism, communication, reliability, and overall fit
Identify strong candidates through both experience and personality assessment
Recognize red flags or concerns during the vetting process
Maintain high standards for trustworthiness, professionalism, responsiveness, and dependability
Sitter Onboarding & Operations
Guide approved sitters through onboarding
Ensure sitter profiles are fully completed and organized
Track sitter availability and responsiveness
Maintain a strong active sitter pipeline, especially during high-demand seasons
Support sitter communication and follow-ups
Help create a positive and professional experience for caregivers
Backup Care & Concierge Support
Assist families with backup care and last-minute booking support
Coordinate sitter confirmations and booking communication
Support concierge-style childcare requests including travel, hotel stays, events, and special requests
Help ensure families receive timely responses and dependable support
Escalate sensitive situations or operational concerns when needed
Administrative & Operational Support
Maintain onboarding trackers and operational spreadsheets
Update sitter notes, statuses, and onboarding progress
Help improve response times and operational organization
Assist with maintaining smooth onboarding and booking workflows
Submit weekly reports outlining completed tasks, operational updates, challenges, and goals for the following week

Preferred Experience
Recruitment, staffing, childcare, hospitality, concierge, or customer support experience
Experience conducting interviews and phone reference checks
Experience supporting fast-paced service-based businesses
Experience working remotely with EST schedules preferred
Schedule
Full-time
Monday–Friday
Eastern Standard Time (EST) schedule with flexibility based on operational needs
