JOB OVERVIEW

We are seeking a highly organized, detail-oriented Virtual Administrative Coordinator to support backend operations, client communication, CRM management, event coordination, task tracking, and social media engagement. This role requires strong follow-through, excellent written communication, comfort managing multiple systems, and the ability to work proactively with minimal oversight.

Key Responsibilities

Manage daily email communications, respond to inquiries within 24 business hours, prioritize messages, and maintain clear documentation.

Maintain and update CRM records, including contact information, tags, segments, event attendance, program participation, and engagement data.

Use Asana to create, manage, and update projects, tasks, deadlines, client notes, and next steps on a daily basis.

Track contracts manually, create follow-up tasks, send reminders, confirm signed agreements, and escalate delays as needed.

Coordinate virtual and calendar-based events, including invitations, Zoom links, reminders, registrations, CRM updates, and attendee tracking.

Manage virtual events by setting up rooms, admitting participants, monitoring chat, sharing links, providing support, recording sessions, and handling disruptions when necessary.

Track post-event metrics such as RSVPs, attendance, consultations, subscribers, and follow-up communications.

Manage LinkedIn activity, including scheduling weekly posts, drafting occasional copy, responding to comments/messages, engaging with relevant posts daily, and managing alumni group activity.

Create and monitor forms, track responses, send deadline reminders, follow up with non-respondents, and ensure data is accurately captured.

Required Skills & Experience

The ideal candidate is organized, accurate, proactive, and highly dependable. Experience with Go High Level CRM, Asana, Google Workspace, LinkedIn, Meta platforms, and Canva is preferred.

s, CRM, Asana, contracts, events, forms, and social media activity must be managed consistently and accurately. The successful candidate will keep systems running smoothly, prevent missed deadlines or follow-ups, maintain accurate data, and support seamless client and event experiences.

Work Environment

This is a fully remote role requiring consistent daily availability, clear communication, and the ability to complete tasks without repeated direction.

Desired Hours:
Monday-Wednesday = 8:30am- 4:30pm Eastern Standard Time
Thursday-Friday= 9:00am-12pm Eastern standard Time
