Position Summary
The Care Coordinator Assistant plays a key supporting role in helping children begin therapy quickly and ensuring families have a smooth onboarding experience. You’ll work closely with our Care Coordinator to match families with therapists, manage scheduling logistics, and keep our systems organized.
This role is perfect for someone who is detail-oriented, compassionate, and tech-savvy—with strong communication skills and a heart for helping families access care.
Core Responsibilities
-Therapist Matching & Waitlist Management
-Update and maintain the Therapist Matching Tracker daily.
-Assist in matching families with available therapists based on schedule, language, and insurance.
-Send text messages to confirm family availability and preferences.
-Track matched families and update their records in Dock and Fusion Web Clinic.
Scheduling Coordination
-Ensure families who have completed evaluations are scheduled promptly.
-Send reminders to therapists for monthly availability updates.
-Coordinate with the Care Coordinator to address any scheduling conflicts or delays.
Communication Support
-Communicate with families via text or phone to confirm appointments and share updates.
-Join phone calls with the Care Coordinator when needed for family follow-up or matching.
-Maintain a warm, professional, and family-centered communication style at all times.
Reporting & Organization
-Prepare short weekly summaries of new referrals, pending matches, and bottlenecks.
-Maintain organized records in Google Sheets, Docs, and Slides.
-Support ad-hoc admin projects related to scheduling and family coordination.
Must-Have Skills & Experience
-Excellent English communication skills—clear and confident on phone calls.
-Strong organizational and data entry skills.
-Comfortable using Google Sheets, Docs, and Slides.
-Professional, calm, and compassionate communicator.
-Experience in healthcare coordination, scheduling, or customer service is a plus.
-Ability to speak in Spanish is a huge plus
Schedule & Work Environment
-Weekly Hours: 40 hours/week
-Work Hours: 9am-5pm ET, Monday–Friday
Location: Remote (Philippines)
Training: Initial onboarding and shadowing with the Care Coordinator
Compensation & Classification
-Type: Independent Contractor
-Hourly Rate: $5-7 per hour (USD), depending on experience
-Plus a structured, performance-based bonus program
Success Metrics
-Families are matched with therapists quickly (within 48 hours of evaluation).
-Waitlist and scheduling records are consistently accurate and up to date.
-Communication with families is timely, warm, and professional.
-The Care Coordinator’s time is freed up to focus on high-value family conversations.
