JOB OVERVIEW

We are hiring a Real Estate Property Management VA to support the daily administration of a UK property portfolio. The ideal candidate has a working understanding of UK property management, strong communication skills, and the ability to coordinate effectively with tenants, councils, and contractors. This role suits someone organized, proactive, and confident handling administrative work across multiple platforms.

Key Responsibilities:
- Review and prioritize incoming emails to keep urgent matters on track
- Manage the calendar and ensure all appointments and deadlines are properly scheduled
- Handle communication with tenants, councils, and housing associations
- Coordinate with contractors for repairs, maintenance, and compliance work
- Make outbound phone calls to contractors to follow up on jobs and request progress photos
- Process expenses, quotes, and repair approvals through Zoho, including the three-quote workflow
- Use Asana to track tasks, property updates, and project progress
- Save contractor photos and documentation and upload them into Asana
- Monitor UK property compliance items such as EPCs, gas certificates, and licensing
- Provide general admin support across the property portfolio

Mandatory Skills:
- Working knowledge of UK property management and basic compliance standards
- Practical experience with Zoho for CRM or workflow management
- Proficiency with Asana for managing tasks and projects
- Strong English communication skills with confidence on phone calls
- Solid background in email and calendar management
- Reliable, detail-oriented, and able to work independently with minimal supervision
- Strong organizational skills and the ability to juggle multiple priorities

Preferred Skills:
- Familiarity with Rightmove, Zoopla, and OpenRent
- Experience using Canva to create brochures and marketing materials
- Basic photo editing skills
- Background working with property managers, lettings firms, or real estate professionals
- Confidence dealing with contractors and tradespeople
- Ability to manage multiple projects simultaneously
