Who we are
We are a team of 7. The founder handles strategy, content, and direction. The rest of the team are creative strategists and video editors. We work fully remote and move fast.
What this role is
We are looking for a smart, organised, reliable full-time assistant to work directly with the founder.
This is not a passive role where you wait to be told what to do. We need someone who can think for themselves, figure things out, follow up without being asked, and keep things organised across multiple areas of the business at the same time.
If you have experience as an executive assistant, operations VA, or in a similar role where you supported a founder or senior leader directly, this is for you.
What you will do
You will help across several areas:
Admin and finance
Organising invoices, receipts, and documents. Updating accounting spreadsheets. Tracking software subscriptions and costs. Preparing payment overviews for salaries and contractors. Keeping Google Drive clean and organised.
Supplier research and outreach
Finding suppliers online, collecting quotes, comparing options, and sending outreach messages. Organising everything into clear comparison sheets.
Upwork applications
Finding relevant jobs on Upwork, filtering out bad ones, adapting our proposal templates, sending applications, and tracking replies and calls booked.
Customer support
Replying to customer questions about orders, shipping, returns, and refunds using approved templates. Checking Shopify order details. Escalating complicated issues when needed.
Hiring support
Posting jobs, tracking applicants, checking whether people followed instructions, organizing candidate pipelines, scheduling interviews, and sending follow up messages.
SOPs and documentation
Turning Loom videos, voice notes, and rough instructions into clean step-by-step documents. Keeping internal docs organized and up to date.
Social media engagement
Replying to comments, engaging with relevant accounts, flagging potential leads, and supporting basic community management.
ClickUp and project management
Creating and updating tasks, checking deadlines, following up on stuck tasks, and keeping everything organized.
Creator and contractor coordination
Sending outreach to UGC creators, collecting prices and replies, sending briefs, following up on deliverables, and organizing files.
Research
Finding tools, suppliers, platforms, travel options, or anything else the founder needs a clear summary on.
What we are looking for
You have worked as an executive assistant, operations VA, or in a similar role before
You can manage multiple tasks at the same time without dropping things
You follow up on your own — you do not wait to be chased
You figure things out before asking for help
You communicate clearly and quickly
You are comfortable with tools like Google Drive, ClickUp, Slack, Spreadsheets, Upwork, and Shopify
You have at least 80 hours per month available and are not overloaded with other clients
